We are excited to add administrative assistant to our team to help us with the day-to-day operations of our business.
The role
This is an exciting opportunity to assist with the overall administrative needs of this not for profit sector organization. As the Office Administrator, you will be reporting to the Manager of Administration & Process Excellence to help aid in the support with the internal staff. The responsibilities will include but are not limited to the following;
Responsibilities:
- General organization and maintenance of the office
- Co-ordinating with specialty maintenance suppliers
- Mail & Courier
- Prepare checklist for each Charitable Grant Request (gathering CRA listings & EFT payment details for each charity)
- Redemption preparation
- Filing
- Prepare documentation to support tax receipts
- Maintain lists for donors and advisors
- Download all investment statements each month
- Assist with Investment Account Opening Documentation
- Create records for new clients/donors
- Maintain and update existing records
- Assist with uploads to client/donor Portal
Qualifications and experience:
- Post-secondary studies in business administration
- 2 – 3 years’ experience in respective field, preferably investment industry, insurance or accounting office
- Intermediate or advanced skill in MS Office
- Strong written and verbal skills
- Ability to work in a fast-paced environment
