HLH Associates Hiring for Personal Assistant to Principal at Dallas, TX Full Time

We are seeking a Personal Assistant for a Principal and her Family Office located in Uptown Dallas. This role will assume responsibilities related to the family’s daily life and their home, to include, but not limited to, managing all vendor and services within the home and office, day-to-day errands, personal shopping, gifting, resolving technology issues, and other basic personal and administrative duties as requested. The role will be working closely with the rest of the Family Office staff team to ensure the smooth operation of the family’s daily life and all their daily personal objectives are met.

Candidate must have a proven track record of operating in a trustworthy and discreet manner. Candidate must be detail-oriented, organized, resourceful, and able to think five steps ahead to anticipate the family’s needs.

This hourly Personal Assistant role is full-time and on-site M-F, 9am-6pm.

RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

• Running errands as requested by the family/staff team
• Schedules and supervises vendors for maintenance and repair services in the home and office
• Personal and gift shopping
• Holiday gift-ordering and deliveries, and updates/maintains log accordingly
• Gift-wrapping and deliveries to gift recipient or shipping offices; and maintains gift closet supply
• Prepares personal items needed for travel, and assistance with packing if requested
• Stocking groceries prior to the family’s return from travels
• Drives the Principal to meetings and appointments
• Collects, records, and distributes incoming mail and packages
• Manages and troubleshoots all home AV systems and family’s technology devices in coordination with 3rd party IT company
• Provides daily updates of specific Social Media accounts which are of interest to the Principal
• Submits daily To-Do list
• Assist with basic administrative tasks as needed including, but not limited to, printing, scanning, acquiring signatures on documents, meeting preparation, and online research
• Maintains good relationship with staff team and residential building management team
• Other tasks, creative projects and gifts as requested

REQUIREMENTS

• High school diploma required, some college preferred but not required
• At least 3 years’ experience as a Personal Assistant, preferably in a Family Office environment but not required
• Strong ability to multitask and work independently with minimal supervision
• Strong organizational and follow-through skills, and able to take ownership and be accountable
• Ability to handle stress and remain calm under pressure
• Resourceful, dependable, reliable, trustworthy, and discreet
• Strong team player and flourishes in a teamwork environment
• Tech-savvy especially with Apple products
• Focused, skilled at setting priorities and completing tasks following deadlines
• Strong written and verbal communication skills
• Working knowledge of MS Office
• A positive and professional appearance and demeanor
• Must be fully COVID-vaccinated, proof of vaccination required
