Your Role and Responsibilities
To own and deliver event logistics, to given budget, for Classroom and Virtual events. to include:

• Sourcing suitable internal and external venues (working with external event organizer’s), as per course requirements and budget guidelines, review options and provide recommendations to stakeholders
• Set up event offerings in Event Management Tool, controlling participant enrolments, following correct approval processes and/or working with teams to complete the task.
• Monitor and manage participant enrolments (to achieve maximum, capacity where possible for each event). raising any low enrolments in a timely manner.
• Tutor Management – Booking/Confirming Tutors/Facilitators/Coaches/Speakers, providing logistics, materials etc.
• Participant Management – provide advice to potential participants re courses, logistics, materials etc.
• Prepare and distribute. where required, event communications e.g., invites, joining instructions and tutor briefs for designated.
• Raise purchase orders and communicate requirements, red flags etc. in a timely manner.
• Liaise with kitting tools on ordering, printing, and shipping of materials, Visa requirements etc.
• Processing and raise carts/PO requests via IBM procurement systems for external resources. Verify invoices against purchase orders and highlighting any anomalies.
• Data management – ensuring data quality and integrity
• Provide On-site support for selected F2F events, where required
• Attend regular calls with aligned team and stakeholders to understand course requirements. provide regular status updates on course logistics and course attendance, proactively raising key milestones. challenges etc. to mitigate risk.

• An efficient multitasker, able to take work direction from multiple sources and prioritize, while staying calm under pressure.
• Strong communication skills, both written and verbal.
• Self- motivating, able to work alone and be a team player at the same time.
• Project Management skills (Milestone planning/management)
• Problem solving capability and decision-making skills, able to present clear conclusions and recommendations. with data to defend them, while showing creativity in solutions when required.
• Proactiveness in task management and risk mitigation.
• Growth and open mindset, ready to take on new challenges.
• Ability to be able to work within processes and guidelines while providing flexible solutions.
