Responsibilities

• Oversees visitor experience, sorts and distributes mail, answers and directs incoming phone calls;
• Manage and coordinate all office operations;
• Liaise with leaseholders for all rented office buildings (including regional offices);
• Provide regular updates on office building environments and schedule maintenance repairs as needed;
• Manage office equipment, maintenance and service contracts;
• Plan all in-house or off-site activities of the organization (All staff meetings, staff sharing, SMT Retreat, Program training, etc.);
• Assist Human Resources with job postings, collecting resumes, and providing managers a summary of all applicants;
• Coordinates and schedules interview for Inclusion NB hiring team as needed;
• Work with the Human Resources team to update office policies and onboard new hires.

Qualifications

• Post-secondary education supplemented by administrative and computer course(s) plus two years of relevant experience. An equivalent combination of training, education and experience may be considered;
• Minimum 3 to 5 years experience in administrative service and support;
• Knowledge of office management systems and procedures;
• Excellent time management skills and ability to multi-task and prioritize work;
• Excellent written and verbal communication skills;
• Strong organizational and planning skills;
• Proficient in the following: Word, Excel, Powerpoint, Outlook, Zoom, DropBox. Ability to learn new technologies easily.
• Valid driver’s license and reliable vehicle necessary for daily work-related duties and ability to travel within the service area;
• Current and Valid Criminal Record & Vulnerable Persons Check;
• Must be able to work occasional evenings as required;
• Fluently Bilingual (French and English) is considered a strong asset.
