Integrity is actively recruiting an Administrative Assistant to join our expanding team.

As an Administrative Assistant, you will be responsible for a wide variety of administrative tasks, including but not limited to, general office duties, assisting accounts payable, and creating and modifying spreadsheets

This position will report directly to the Financial Specialist.

Duties and Responsibilities:

• Answer general phone inquiries in a professional and courteous manner, and direct as required
• Entering payable invoices into internal ERP system
• Tracking outstanding payable invoices that are distributed to other departments for approval
• Reply to general information requests with the accurate information
• Greet visitors in a professional and friendly manner
• Provide administrative support to Financial Specialist, Accounts Payable, Analysts, the C.F.O and C.E.O
• Maintain general office documents
• Relay voice mails from the general mailbox to the appropriate staff member
• Date stamp mailed invoices, and distribute incoming mail and faxes
• Print accounts payable invoices received by email
• Maintain Accounts Payable cheques printed for pickup and obtain proper sign-off
• Prepare and send outgoing faxes and mail for office
• Utilize the office inventory list to order all supplies for the office, including lunch supplies and coffee orders
• Create purchase requests for all items ordered and receive as required
• Organize all company lunches
• Upload ITM presentation on company USBs
• Assisting the management team with administrative tasks
• Tracking, updating and reporting to the Director of Operations on a variety of shop projects
• Creating and updating spreadsheets

Required Qualifications:

• Proficient in Microsoft Suites (Outlook, Excel, Powerpoint, Word, etc.)
• Strong work ethic
• Ability to follow line-up from leader and learn company procedures
• Excellent communication and organizational skills
