We are looking for a highly motivated individual to join our team as an Associate – HR Operations and Training reporting to the SVP of the team. The ideal candidate must have excellent communication skills as this is a global role working with stakeholders in various countries. He or she will be responsible for the administration of the HR talent action tool and provide support for the corporate learning management system, as well as other HR applications. In addition, the candidate will assist the Director of HR Policy, Procedure and Training on key learning-based initiatives, as well as the broader team on strategic initiatives.

JOB DESCRIPTION

• Leads global system administration and support to all internal users, as well as partner with Technology for enhancements of the HR talent action tool
• Assists with administrative support for other HR applications – corporate learning management system, onboarding, employment screening – which includes but not limited to, maintaining security access; ensuring quality control via data validation; and running periodic reports
• Partners with broader team on the management of the end-to-end employment verification process (i.e., I-9 and e-verification) for hires across US-based agencies
• Manages administrative aspects of affirmative action planning across US-based agencies, which includes identifying and maintaining roster of stakeholders; devising and executing communication plan; receiving and organizing supporting documentation; tabulating final affirmative action plans
• Contributes to the development and maintenance of a full suite of HR application policy and procedures; this is applicable to our immediate team and our wider global HR organization
• Assists with maintaining a repository and ensure procedures are reviewed on a set schedule
• Partners on ad-hoc and routine projects related to policy, procedure and training, as well as broader team’s strategic initiatives
• Develops a deep understanding of IPG DXTRA’s HR applications landscape, both the current needs and future vision

QUALIFICATIONS

• BS / BA
• Core understanding of HR business processes / operations is preferred
• Well organized with focus to detail; ability to balance and prioritize multiple projects in a fast-paced environment
• Must be deadline orientated
• Inclusive and collaborative working habits; demonstrates client service focus and ability to build relationships successfully
• Demonstrates problem solving and analytical skills
• Excellent communication skills
• Thorough knowledge of MS Excel, Word, and PowerPoint
• High level of maturity and business acumen

To succeed at IPG DXTRA, the Associate – HR Operations and Training must be practical, flexible and both tactical and strategic. Since staffs are lean, he or she should have a “roll up the sleeves” mentality and relish operating in “grey” and ambiguous areas. The culture fosters very smart, creative people with a broad range of interests, but business discipline and specific methodologies may not be at the forefront. Additionally, since much of our business is global, prior experience working with international groups would be helpful.
