SUMMARY
- Provide Administrative support to the organization through excellent front-line customer service, sales administrative and data support.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Receive and re-direct calls from multi-line phone system to appropriate departments/individuals
- Professionally greet customers, visitors, and vendors and coordinate the notification process, while providing hospitality to clients.
- Coordinate visitor log and issue passes as required.
- Maintain showroom, board room, and customer conference room.
- Process & sort incoming mail for Sales & Marketing, HR, Production, Finance, IT, etc. Distribute all FedEx, UPS, express packages, and fabric received at front desk.
- Responsible for entering and recording a variety of data that may include employee status change information, layout hours, tick charts, etc.
- Process memos, correspondence, reports and other confidential documents to appropriate departments.
- Manage the purchase and inventory of supplies, including office, shipping, postage, employee lunchroom and customer supplies in a centralized format.
- Coordinate and purchase breakfasts and/or lunches for customers, training, board meetings, and annual shareholders meeting, etc.
- Trouble shoot and communicate vending and purchasing opportunities as appropriate.
- Manage P-card statement and transactions.
- Identify Security Improvements & communication plans (frequent versus non-frequent visitors).
- Adhere to emergency and crisis management procedure and tests.
- Run multiple weekly reports for sales and marketing.
- Upload parts details from SBD software to PLEX for continuous improvement.
- Prepare accounts payable checks for mailing and file vendor invoices.
- Inventory, order, prepare, and restock literature room samples, including labeling and assembly of marketing materials.
- Collect, prepare and ship parts, technology, literature requests and other marketing material.
- Responsible for initial contact letter and brochures sent to potential customers via website inquiries.
- Demonstrate the ability to work effectively with people of diverse backgrounds and to promote a positive working environment.

REQUIREMENTS:
- Associate Degree or one-year certificate from college or technical school preferred.
- Reliable and dependable work history required.
