Island is seeking an energetic and organized Purchasing Agent(s). This position is based out of Company Headquarters in Calverton, Long Island, NY.

Position Responsibilities:

Responsible for ensuring that purchase orders are placed and deliveries are scheduled and maintained in order to meet production requirements following MRL approval process.

Monitor Purchase Request website for new orders (division of orders between Purchasing Agents (PA) to be determined).

Coordinate and/or expedite deliveries and adjust purchase order dates to comply with business requirements.

Process exception handling requests to meet production requirements and meet required production deadlines.

Review planning requirements on a regular basis for assigned items and materials and react accordingly in order to maintain inventory levels supporting manufacturing demand.

Work with suppliers to achieve 100% quality, 100% on-time delivery, and best value for the Company.

Negotiate pricing, credit terms and delivery of construction materials/shop supplies/office supplies.

Role-Specific Competencies

Ordering Inventory/Consumables

Place purchase orders via fax, internet and/or email. Confirm receipt of PO etc with Vendor

Enter Purchase Orders & update delivery dates in Purchase Order Register (POR) on a daily basis, including drop ship orders.

Coordinate and/or expedite any overdue deliveries.

Review production levels w/ Project Managers (PM) and co-ordinate deliveries.

Communicate to Project Manager or Shop Foreman (SF) backorders. Coordinate delivery of backordered items and communicate any changes in backorder dates.

Maintain backorder data, to include causes and quantities of backorders.

Update management regarding backorder trends.

Collaborate with PM/SF/Engineering/SOFP any substitute products due to backorders.

Process exception handling requests multiple times per day to split orders to meet production requirements or due dates.

Process material returns as needed (RMA). Coordinate with Vendor, AP and shipping department.

Update Purchase Net Savings spreadsheet on a weekly basis showing multiple quotes to show savings (metric).

Generate PO’s and set delivery schedule for Spray-on Fireproofing (SOFP) on a daily basis.

Collect, scan and enter all Material Receipts on a daily basis on the POR.

Generate check requests for CIA or COD materials and notify Accounts Payable. Update Check Request spreadsheet as needed – follow established process.

Issue NDA and W-9 as needed – follow established process.

Clerical tasks – filing, phone coverage, department support as requested/needed

Position Requirements:

· Must be proficient in Microsoft Office productivity tools such as Word, Excel, and PowerPoint

· Strong organizational skills

· Strong written and verbal communication skills

· Solid Knowledge of current materials and tracking procedures

· Prior experience in the construction industry (preferred)
