Experienced Office Administrator

Island Window Coverings is seeking a full-time, experienced, office administrator. Position is located in Victoria, BC.

Individual must have great attention to detail, be a quick learner and be able to work in a collaborative, fast-paced environment.

Individual will be responsible for various office administration, job costing and accounts receivable duties as well as supporting management and all sales and installation staff. A minimum of two years previous reception and/or office administration experience is preferred.

Individual must be proficient with computers, including MS Office, Outlook and Excel.

Individual must have strong communication and organizational skills and excellent interpersonal skills.

Responsibilities for this role include:

Office Administration

• Reception duties – including answering phones and greeting customers
• Mail processing – sorting, distributing and preparing daily mail
• Maintaining office equipment and office supplies
• Basic bookkeeping
• Other clerical duties – filing, faxing, photocopying

Accounts Receivable

• Prepare bank deposits and process customer payments
• Daily preparation, entering and reconciliation of sales invoices including verifying accuracy of invoices, product descriptions, pricing and taxes
• Reconcile customer accounts
• Maintain accurate customer files
• Respond to customer inquiries
• Completion of daily, weekly and monthly reports

Job Costing

• Maintain the job costing system for all projects
• Prepare an analysis of revenue and costs for each job

Business hours are Monday – Friday, 8:30am – 5:00pm.

Wage based on candidate.

Salary: $50,000.00-$55,000.00 per year
