Executive Assistant
The Executive Assistant is a multi-faceted position that performs a variety of event planning, secretarial, clerical, and administrative duties which support the Chief Operating Officer. The focus of this role is to provide opportunities for the COO to develop and secure new client connections and relationships, conserve the COO’s time and promote the corporate image in accordance with I.T. WORKS! strategy and goals.
Responsibilities include:
· Research, arrange and schedule COO’s participation in speaking, networking and other marketing-oriented events to develop sales opportunities leading to new clients.
· Track, organize and prioritize sales leads, correspondence and deadlines.
· Management of the company’s digital marketing design, content and functionality which includes website, SEO and social media platforms.
· Brand management including editorial control and consistency of messaging and graphic appearance across all marketing communications platforms.
· Organize and manage COO’s time and schedule.
· Receive, screen and relay telephone messages to assure inquiries are responded to in a timely manner.
· Organize, manage and respond to electronic and written correspondence for the COO and maintain list of action items to ensure tasks are completed and clients’ expectations are met in a timely manner.
· Communicate tasks set forth by the COO to the Team when requested and follow through in an organized and accountable manner.
· Communicate verbally and electronically with the Company’s clients on behalf of the COO with the utmost professionalism and courtesy.
· Transcribe e-mail, letters, and other correspondence for the COO.
· Assist the COO in the performance of administrative duties and responsibilities, as requested.
· Arrange travel and meetings by developing itineraries and agendas; booking transportation; arranging lodging and meeting accommodations.
· Use of tact, diplomacy, discretion and judgment due to exposure to sensitive information.
· Take the lead in special projects delegated by the COO as and when they arise to ensure that such projects meet or exceed the original goals and alleviate the monopolization of the COO’s time and focus which such projects typically require.
· Schedule and plan employee gatherings to nurture I.T. WORKS! values and a positive morale.
· Demonstrate timely and dependable attendance.
· Be flexible and understanding while prioritizing and maintaining deadlines.
· Assist with file maintenance and organization of both electronic and hard copy
· Provide word-processing and secretarial support.
· Assist in the planning and preparation of meetings, company events, conferences and conference telephone calls.
· Act as recording secretary at Team meetings and follow up with Team members as needed.
· Perform other related functions, as determined by I.T. WORKS!.
Qualifications:
· Bachelor’s degree in Business, Marketing or a related field of study and/or have 3-5 years’ experience in similar role as Executive Assistant.
· Event planning and scheduling experience.
· Proficiency in M.S. Office.
· Proficiency in website management, SEO and social media platforms and content.
· Excellent verbal and written communication skills.
· Highly organized with superior time management skills.
· Strong attention to detail and excellent organization skills.
· Strong critical thinking, analytical and problem-solving skills.
· Be proactive in identifying work that needs to be done and following through with all assignments.
· Ability to manage several projects at one time and prioritize work.
· Work well with Team Members, as well as outside clients and vendors.
· Comply with all policies and procedures in the Employee Handbook.
· Demonstrate sound work ethics.
· Maintain strict confidentiality.
· Be honest, trustworthy and respectful.
· Be flexible in scheduling.
· Present a professional, business-like, image to clients, colleagues and visitors.
