Jacob Bros Construction is immediately hiring an Administrative Supervisor at our head office in South Surrey, BC.

Please note this position is 100% office based.

About the Role:

The Administrative Supervisor is responsible for ensuring the day-to-day operations of the Administration Department run smoothly.

The incumbent will be a hands-on senior administrator who executes a wide range of administrative tasks, and organizes and coordinates administrative staff to ensure departmental effectiveness and efficiency.

Responsibilities:

Supervision:

• Organizes, coordinates, assigns and monitors day-to-day activities of the Administrative Department (4 staff) to ensure optimal efficiency and quality of administrative services.
• Overall accountability and primary point person for the coordination and supervision of the Admin team.
• Ensures administrative operations and procedures are organized, filing systems are maintained, and clerical functions are properly assigned and monitored.
• Ensures the highest quality standards are met for all work across the administrative department.

Administration:

• Prepares and maintains confidential human resources materials for executives including offer of employment letters, confirmation of employment letters, probationary letters, termination letters and performance management documentation.
• Creates and maintains employee files.
• Serves as primary point person for group health benefits, RRSP contributions, wellness program and long-term disability leaves; fields related inquiries from salaried employees.
• Coordinates with IT vendor to ensure all copiers are running smoothly; ensures administrative team provides IT support to all staff as required.
• Manages all aspects of couriers, office supplies, and photocopiers, and serves as approving signatory.
• Provides backup support to the Executive Assistant during absences and vacation leaves.

Requirements:

• Two (2) or more years’ experience in an administrative role for a general contractor, sub-contractor, or engineering firm is preferred.
• Minimum two (2) or more years in a supervisory position.
• Experience with construction tenders, RFP/RFQ and safety documentation is an asset.
• Proven experience maintaining confidential information including human resources documentation.
• Maintains high level of accuracy across all tasks.
• Strong organization skills with great attention to detail.
• Superior multi-tasking and time management skills.
• Establishes strong professional relationships with direct reports, and at all levels of an organization.
• Advanced skills in Microsoft Office suite – Outlook, Teams, SharePoint, Access, Excel, PowerPoint, and Word.
