To reach our mission and vision, we are looking for an Administrative Assistant who is ethical, responsible and takes pride in the value their role adds to the team overall. This person will ultimately wear three hats: receptionist, administrative assistant, and virtual office assistant. This position has be potential to be converted to an employee role.

The ideal candidate will have excellent oral and written communication skills and be able to organize multiple competing priorities. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our virtual office.

Here’s a breakdown of day-to-day responsibilities:

Receptionist Duties

• Answer and direct phone calls incoming to JTC
• Answer general questions about products, services and pricing
• Send brochure details of products and services
• Send new client questionnaire to arrange consultation

Administrative Assistant Duties

• Organize and schedule CEO calendar appointments
• Manage CEO email inbox
• Take meeting notes and follow up (team and client meetings)
• Book travel arrangements

“Virtual Office” Assistant Duties

• Provide assistance and documentation to department leads, as needed
• Write and distribute email correspondence memos, letters, and forms
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a company filing system
• Update and maintain office policies and procedures
• Order office supplies and research new deals and suppliers
• Maintain contact lists
• Manage company email inbox which includes: (1) Greet and be a first responder to client inquiries, (2) Respond to questions of current clients, (3) Forward emails to corresponding parties based on requests, and (4) Client tracking
• Manage “Master Prospective Client Tracker” and client follow up

Basic Qualifications:

• High School degree
• 1-2 years’ experience in office management or coordinating business operations
• Proficiency in MS Office (MS Excel and MS Word, in particular)

Bonus Qualifications:

• Bachelor’s degree
• Excellent time management skills and the ability to prioritize work
• Proficiency with virtual meeting tools like Google Meet, Zoom and WebEx
• Proven experience as an administrative assistant or office admin assistant
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task

Job Types: Full-time, Contract

Pay: $17.00 – $19.00 per hour

Schedule:

• 8 hour shift
• Monday to Friday

Education:

• High school or equivalent (Required)

Experience:

• Customer service: 2 years (Preferred)
