Bi-Weekly Hours: 75.0 hours bi-weekly (Commencing Immediately)The main purpose of this position is to provide administrative, technical and policy support to the Manager of Policy, Planning and Special Projects, Highway Safety Division (HSD). Technical Support: related to the compilation of statistical reports on traffic safety data, preparation of audit reports on program data, the preparation of client driver record reports, and delivery of professional services for Highway Safety senior management and clients. Duties includes: – Assist with preparation of Federal/Provincial/Territorial (FPT) committee materials for the American Association of Motor Vehicle Administrators (AAMVA) and the Canadian Council of Motor Vehicle Administrators (CCMVA);- Prepare report summaries by compiling data and statistics from various departmental resources;- Assist in the research, development and maintenance of the HSD website and social media presence;- Assist with preparation of onboarding manual for future HSD employees;- Assist with preparation of HSD policy and procedures manual.- Serve as a focal point for communication with other parts of the Division and Department, including regional offices, on all matters relating to planning and policy;- Coordinates preparation of policy and planning documents; ensures that the planning and policy work plan is kept up to date and that deadlines are met;- Undertakes research to provide information to internal and external audiences, often on an urgent basis, using divisional databases and/or the Internet;- Supervise a summer student (depending on budget capacity);- Prepare correspondence related to division programs, policies, and procedures; – Catalogue and maintain computerized and hard copy files related to the HSD legislative agenda;- Gather information from HSD for departmental annual reports;- Record keeping and filing duties relevant to policies and programs within HSD;- Interact with the public (via phone, in-person, e-mail) with respect to their personal information regarding driver license status, policies regarding suspensions, instruction permits, acquiring new licenses, elderly driver considerations; – Act as back up administrative support to the Director of Highway Safety;- Create reports from the following systems: Business Objects Enterprise (BOE); Carfax; Driver Vehicle System (DVS) invoicing; Collision and Accident Reporting System (CARS); Inter-provincial Records Exchange (IRE) and Electronic Abstract System (CGI) – as required; and other general office duties as required.
Qualifications
Minimum Qualifications: – Must have successful completion of Grade 12 or GED (equivalent) and graduated from a recognized Office Studies or Business Administration Program.- Have experience in providing assistance in the delivery of programs to the public.- Demonstrated equivalencies will be considered.- Knowledge of Highway Safety computer programs would be an asset. For example, Drivers and Vehicle System (DVS), Records Management System (RMS), and Single Window Access Technology (SWAT).- Have a general knowledge of spreadsheet applications.- Must be highly proficient in the use of the Microsoft Suite software programs (Word, Excel, PowerPoint).- Proficiency in conducting computer searches and data entry.- Demonstrate awareness of the organizational structure of the Highway Safety Division and departmental policies and procedures including the National Safety Code and the PEI Driver’s License System.- Must have knowledge of Highway Safety legislation including the Highway Traffic Act, Off-Highway Vehicle Act, Roads Act, Criminal Code of Canada and associated regulation.- Must possess a high level of confidentiality and interpersonal communication skills, both written and oral.- Exercise judgment within defined procedures and practices to determine appropriate action.- Strong organizational skills, ability to work independently with minimal supervision in a fast-pace environment.- Ability to be flexible and adapt readily to change.- Must have a good work and attendance record.- Must be able to provide service excellence through courteous, informed, accessible, and professional engagement.- The successful incumbent must provide a current and satisfactory Criminal Records Check, prior to employment.- The successful incumbent must provide a current Hearing Test, prior to employment.Note: Please ensure the application clearly demonstrates how you meet the noted qualifications as applicants will be screened based on the information provided.
