JOB SUMMARY
UNDER THE GENERAL AUTHORITY OF THE FINANCE AND LEGAL AFFAIRS DEPARTMENT, TO FOLLOW SPECIFIC PROCEDURES AND GUIDELINES FOR ARCHIVES & RECORDS MANAGEMENT, THE DIGITIZATION OF RECORDS AND PERFORMING DATA ENTRIES INTO RECORDS MANAGEMENT SYSTEMS FOR THE DEPARTMENT OF FINANCE AND LEGAL AFFAIRS.

DUTIES AND RESPONSIBILITIES

  • Conduct inventories of files.
  • Handle boxes.
  • Prepare files according to the procedures and guidelines outlining specifics to records management, archives and digitization process (Policies concerning the Digitization of Documents).
  • Perform sorting and document pruning.
  • Perform scanning using a document capture and management system.
  • Perform quality control of the scanned documents by verifying that the number of pages scanned is equal to the number of pages contained in the physical file; verifying the quality of each image.
  • Perform data entries for the transfer of information into Constellio Records Management System.
  • Prepare integrity forms and destruction certificates according to the procedures and guidelines (Policies on Records Management and Archives).
  • Work closely with Legal Affairs department to problem solve.
  • Perform other tasks as required.

EDUCATION:
To have a diploma of vocational studies (DEP) in an appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.

SPECIFIC REQUIREMENTS:

  • Archives and Records management experience preferred
  • Knowledge of Constellio Records Management System an asset
  • Excellent organizational skills
  • Superior interpersonal skills and discretion
  • Superior analytical skills
  • Ability to work efficiently and multi-task
  • Ability to work with minimal supervision
  • Ability to adapt to situational changes
  • Physical ability to bend, reach, and lift up to 20 lbs
  • English – advanced oral and written
  • French – intermediate oral, written comprehension and written
  • Computer literacy/knowledge of Microsoft Office (intermediate Word and basic Excel)
