John Silva Hay Squeezes is looking for an Administrative Assistant & an organized File Clerk to do office management & file maintenance for an agriculture equipment manufacturing company.

Administrative Assistant will pay bills, create invoices, proactively manage customer service needs & assist CEO during a transition to a renovated, paperless office. The ideal candidate will be skilled in computers and detail-oriented.

File Clerk must organize paperwork according to an efficient filing system and digitize all important documents. You will be expected to protect and update files as well as make them easily accessible to your colleagues. The goal is to preserve the company’s records and manage paperwork while converting

The manufacturing line is rapidly growing & requires full attention from CEO and we are looking for administrative help to manage the office. We will consider all levels of experience & will train as needed.

Responsibilities

• Independently manage all administrative aspects of a business (phone calls, bill payment, customer support, CEO tasks)
• Check incoming paperwork (correspondence, invoices etc.) and make copies before distributing electronically
• Sort all papers alphabetically and according to content, dates, significance etc. & create or update records with new files and information
• Scan & store all paperwork in designated places securing the important documents
• Enter paperwork into an electronic system either by data entry or by using optical scanners
• Develop an efficient filing system to make updating and retrieving files easier
• Follow policies and confidentiality dictations to safeguard data and information

Skills

• Very good knowledge of MS Office and office equipment such as photocopier, scanner etc.
• Knowledge of filing systems
• Good command of English both oral and written
• Dependable with a respect to confidentiality and policies
• Excellent organizational skills
• Great attention to detail
• High school degree or equivalent

Job Types: Full-time, Part-time, Contract, Temporary, Internship

Pay: $14.00 – $18.00 per hour
