Under general supervision, schedules examinations, consultations, & appointment in accordance w/ scheduling instructions & necessities of patient care. Schedules appointments, coordinates patient requests w/ physicians & medical department schedules, invoices patients, collects fees, answers telephones, maintains department records, & directs visitors.

Essential Functions:

• Upholds KP’s Policies & Procedures, Principles of Responsibilities & applicable state, federal & local laws

• Provides telephone & visitor reception

• Receives & directs visitors, patients, staff personnel, & others & answers inquiries to include those concerning general organization, facilities, & services, refers to others for further information or assistance as appropriate & determines members’ & non-members identity & eligibility

• Schedules patients for various appointments in a variety of medical departments, on the telephone, by mail, and/or in person

• Makes referral appointments as requested by doctor

• Calls patients w/ respect to appointment reminders & cancellations & notifies patients by telephone or mail of available appointment times and/or appointment changes due to cancellations or revisions of physician time schedules, confirms times, & dates recorded in appointment books w/ patients prior to their scheduled appointments as required

• Determines, collects & posts patient payments in accordance w/ fee schedules, health plan coverage & indicated service

• Totals & reconciles cash, credit charges, & payments received on account by completing standard cash processing forms

• Keeps designated dollar amount of money in cash drawer daily, balances out bank deposit slip for money in cash, transfer bag, delivers bag to other departments & distributes related documents as required, & maintains & controls a petty cash fund

• Prepares, processes, & routes a variety of forms such as Clinic Processing Records (CPR’s), change of address, health plan identification card replacement, off-work or back-to-work order, PE, excuse, welfare, industrial injury, patient traffic, & utilization standard

• Prepares a variety of statistical reports for departmental and/or clinic activities & workload, distributes copies of documents as required

• Performs other duties such as mailing, typing correspondence, calling ambulance or taxi, & ordering operational supplies as assigned

– Prepares aging reports, mails notice to patient w/ glasses on file, answers code-a-phone, & receives calls for all departments & relays information

• Maintains office equipment

• Promotes, ensures, & improves customer service to internal/external customers by demonstrating skills which are consistent w/ the organization’s philosophy of providing extraordinary customer relations & quality service

• Verbal communication including telephone conversations w/ members, doctors, & co-workers

• Work designated HealthConnect work queues as assigned

Basic Qualifications:

• Experience using multi-line telephone required

• Six (6) months of previous reception or clerical experience preferred

• Medical office background, cashiering experience, medical terminology preferred

• Typing skills preferred

• Ability to use a computer keyboard to perform assigned duties

• Must have good communication skills; able to read, write and follow oral and written instructions

• Knowledge of PC and Office applications
