Administrative Specialist-Personnel Services (Job ID 204842)
Position Summary & Responsibilities
This position services as the first point of contact in the Personnel Services Department. Provide support to Director and other personnel staff for filing and drafting letters. Directs employees and visitors to the appropriate person. Prepares envelopes for certified mailings, distributes incoming mail to the appropriate individuals, and prints mailing labels as needed. Monitors fax machine and distributes incoming faxes. Participates in personnel calls and takes notes or minutes as requested. Assists with filing of personnel related documents in personnel files when needed. Receives, tracks, and files supplemental policy documentation. Contacts employees who have not returned documents by deadline or date indicated, or when indicated by the policy document. Updates staff listing of agency wide personnel staff and distributes as updates are needed. Maintains agency wide supervisor listing. Special projects as assigned; training assistance; purchasing and budget support; intranet and form updates. The person in this position must be detail oriented and able to multi-task, have good communication skills, both written and verbal and the ability to draft letters using proper language, grammar and spelling.
