Kinetic Build Looking for Administration Manager at Auckland, Auckland, New Zealand Full Time

Kinetic Build are looking to recruit an experienced Administration Manger to assist our growing team in all business units (technical documentation, BIM (Building Information Modelling), building services / commissioning services) as well as general administration management. Our company provides professional services to main contractors and subcontractors in the construction sector and our 2024 schedule is filling up.

This role requires an enthusiastic, self-motivated, team player with exceptional attention to detail, effective communication skills and the ability to work at pace within an agile environment. 

Importantly the person needs to fully embrace the Kinetic Build values and actively participate in promoting these both internally and externally.

About the role

Managing client communication and documentation delivery within the technical documentation business unit with the intention of upskilling the successful applicant to compile the required technical documentation.

Assisting our team in the BIM / building services / commissioning services business units with documentation management, tracking spreadsheets, specification / drawing reviews.

General office management including implementing / formalising company processes, organising team functions and office administration.

Responsibilities

• Receive requests from customers for documentation projects, assign to relevant internal resource and track project to completion
• Communication with customers regarding outstanding information and submission of final documentation
• Management of review and revision process including customer communication and internal resource
• Compilation of technical documentation based on customer request, supplied information and database / internet resources
• Modification of AutoCAD drawings to match customer and industry requirements
• Supporting the business units with fulfilling standards, methods and procedures using specified software and workflows.
• Manage project software systems’ content and users for efficient operation and security.
• Coordination with the wider company team
• Management of office supplies and resources

About you

• Proficiency in Microsoft programmes particularly Excel and Word. AutoCAD experience would be beneficial, but not essential
• Ability to coordinate and manage own workload supporting multiple project delivery.
• Enthusiastic and keen to use new technologies to improve traditional ways of working.
• Innovative with a desire to share ideas and challenge standard practices.
• The ability to work independently & be self-motivated.
• Previous experience within the commercial / industrial building services sector preferred
• Knowledge of construction documentation and familiarity with construction drawings and specifications preferred
• Ability to multitask and prioritise
• Excellent communication skills

• Enjoy working as part of a team
