Summary The Department of Judicial Administration (DJA) provides professional, high-quality Superior Court record services and justice system programs, while ensuring access to justice *and integrity in the process. King County Drug Diversion Court (Drug Diversion Court) is a criminal justice diversion program administered by DJA. DJA is seeking an *Administrative Specialist IV to serve as a Drug Diversion Court Services (DDCS) office manager and provide administrative support for the Drug Diversion Court program. Drug Diversion Court provides eligible individuals charged with felony drug and property crimes the opportunity for treatment of substance use and co-occurring disorders, access to ancillary services and dismissal of charges. The Administrative Specialist IV is a key member of the Drug Diversion Court team and plays a lead role in administrative and operational components of the program. This includes the development and oversight of office processes, data integrity, exchange of information between the court, DDCS, and community providers, and the provision of services to drug court participants. WORK LOCATION: This position is based at the King County Courthouse located at 516 3rd Ave. Room E917, Seattle, but this position may be required to attend meetings or perform duties at the Norm Maleng Regional Justice Center, 401 4th Ave N., Kent, WA 98031. There will be work associated with this position that may be partially performed remotely. Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. Employees must reside in WA state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. There will be situations where the employee is required to report to a County worksite. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required by the department in alignment with the Public Health Directive from the Seattle & King County Public Health Officer. Job Duties The person selected for this position will be assigned a variety of tasks including but not limited to those listed: * Develop and implement office policies and procedures and monitor for quality assurance. Integrate polices set by drug court team into daily operations. * Train DDCS staff and Drug Diversion Court team members on office and courtroom procedures, electronic client files, and database functions. * Assist with development, implementation, upgrades and day-to-day troubleshooting related to drug court applications and reports. * Perform routine clerical duties including data entry and reconciliation, scanning, indexing, faxing, developing office forms, scheduling meetings, and tracking and ordering supplies. * Serve as the lead for DDCS legal administrative assistant, assigning and monitoring daily work. * Oversee the collection, input and integrity of program data and the exchange of confidential information among drug court team members, treatment and other partner agencies. * Serve as the records management lead for DDCS staff. * Perform receptionist duties including provision of in-person customer service to drug court participants. * Apply a professional and collaborative approach to problem-solving office needs. * Attend drug court hearings, recording what occurs and inputting case information into the drug court database. * Serve as the primary daily contact between the courtroom and DDCS, assign tasks and prioritize courtroom requests with other scheduled DDCS duties. * Assist DDCS staff with ancillary tasks related to case management, treatment referrals and resource provision such as arranging transportation, obtaining releases of information, rescheduling appointments and distributing essential supplies and incentives to program participants. * Attend drug court team Business Meetings and DDCS staff meetings, prepare agendas, record minutes and assign tasks. * Assist with tracking absence requests and scheduling office coverage. * Coordinate multiple, simultaneous activities in a fast-paced environment. * Support the Drug Diversion Court’s approach to participant accountability and empowerment. Experience, Qualifications, Knowledge, Skills Any combination of Education, Experience, Qualifications, Knowledge and Skills which provides the applicant with the desired competencies to successfully perform all duties described will be considered. * Four years experience working in an office environment in an administrative or support capacity with increasing levels of responsibility, * Demonstrated experience and skills with computer software applications, including Microsoft Word, Excel, Outlook, virtual meeting technology, and data entry. * Demonstrated experience with data oversight and quality assurance. * Demonstrated experience developing and implementing processes and training staff. * Demonstrated ability to communicate professionally and effectively, verbally and in writing. * Proven ability to establish and maintain effective working relationships. Willingness to work collaboratively as part of a multidisciplinary team comprised of judges, prosecutors, public defenders, law enforcement, court personnel, case managers, administrative staff, peers, managers, and community providers. * Demonstrated project management and organizational skills. * Demonstrated ability to work effectively under pressure with changing priorities. * Proven ability to be flexible, adaptable and responsive in a fast-paced, dynamic environment. * Strong customer service skills and ability to manage diversity. Must have the skills to interact effectively with drug court participants and professionals of all races, ethnicities, nationalities, cultures, religions, abilities, ages and genders. *_Desirable Experience: _ *Experience as an office lead or supervisor. Experience working in a courtroom or legal setting. Experience working in a social service organization or providing services to individuals experiencing substance use disorders, mental health disorders, homelessness and/or criminal legal involvement. Proficiency in Spanish, the second most commonly spoken language amongst King County Drug Court participants.
