Overview:
The Receptionist and Office Administrative Support provides general office support and receptionist duties for internal and external customers of the Winnipeg Main Office.
Responsibilities:
Health, Safety & Environment:
- Demonstrates a commitment to a safe work environment
- Understands the safety objectives of the organization and supports these efforts in a visible manner
- Work with Safety to ensure that the Winnipeg Main Office building Emergency Response Plan and safety plans are kept current and are communicated to all employees and occupants
Reception:
- Act as an ambassador for the Winnipeg Main Office
- Welcome and greet office guests and employees at main reception
- Answer high-volume main phone line and route to appropriate team members
- Present a positive and professional image of the organization to all visitors and callers
- Enforce safety culture by conducting safety orientations to visitors ensuring emergency procedures and emergency exits are clearly pointed out
- Maintain visitor orientation tracking system
- Manage office supply inventory (tracking and ordering)
- Management and distribution of office phone list
- Manage front door key distribution, office floor plan, phone lists, reception checklists and reception job aides/manual.
- Liaise with building maintenance and external vendors providing office services
Office Administration:
- Prompt distribution and preparation of incoming and outgoing mail and couriers
- Maintain daily upkeep/cleanliness of all common areas; reception, meeting rooms, copy areas, supply/storage room, lunchroom and kitchenettes
- Ensure all machines in common areas are functioning and arrange services as required (coffee machines, photocopiers, check-in system, etc)
- Assist in meeting logistics (boardroom bookings, catering, registration, check-in, room set up/clean up)
- Accounts payable administration; cheque requisitions and purchase orders for office related expenses
- Responsible for communications to all office employees regarding office-related matters such as cleaning, fire alarms, repairs, etc.
- Create purchase requisitions in SAP and process invoices
- Receive invoices in SAP, follow up on invoices with vendors and AP
- Payment of invoices for building-related expenses
Qualifications:
Education:
Post-Secondary education in Administration an asset or equivalent work experience
Skills & Competencies:
- Strong interpersonal and communication skills (verbal and written)
- Excellent customer service skills and a friendly, positive attitude
- Work independently and detail oriented
- Must be flexible, able to balance multiple tasks and changing priorities, with required urgency
- Exhibit exceptional organizational skills so as to complete assignments and produce accurate work products in a timely manner
- Take initiative to research and solve problems
- Excellent proofreading and editing skills
- Proficient in MS Office Suite, Google products, SAP and other related programs
