Overview:
The Office Coordinator acts as an ambassador for the Precast Plant office of Lafarge Western Canada by attending to both internal and external guests in a professional manner. The Office Coordinator is also responsible for the daily upkeep of the office as well as providing backup administrative support to the Precast management team.
Responsibilities:
Greet internal and external guests in a courteous and professional manner.
Answer the main phone line and respond to general inquiries from the public.
Create sales order for standard products for upcoming customers in Order Management program.
Comply with company safety policy and advise the safety procedures to all visitors upon their arrival ensuring emergency procedures and emergency exits are clearly pointed out.
The incumbent will be trained in standard products.
Assist with shipping process and invoicing in SAP for standard products.
Supports the administrative functions of the Sales and Estimating department such as project documentation, drawings and specifications, and filing (hard copy/ electronically), follow up phone calls, etc.
Maintain visitor orientation tracking system.
General office duties including faxing, mail distribution, creating and maintaining department files.
Ensure all machines in common areas are functioning and arrange services as required (coffee machines, copiers, etc)
Ability to make basic math calculations like area, volume, drawing interpretation, etc.
Coordinate with other Lafarge offices for room bookings.
Order and maintain general office supplies.
Manage phone lists and reception job aides/manual.
Liaise with building maintenance and external vendors providing service at the office.
This role will have a high level of interaction with front other departments such as Operations/Project Management. The incumbent must have ability to build relationships and get up to speed quickly on needs of the sales, operations and offer solutions.
Provide backup administrative support to the General Manager, Sales Managers.
Other duties as assigned.
Qualifications:
Education:
Post-Secondary education, studies in Civil Engineering Technology, Architectural Technology or related will be an asset.
Experience and Skill Set:
2+ years of administrative experience.
Excellent customer service skills.
Experience managing business expenses, SAP preferred.
Experience scheduling travel and accommodations through an on-line booking system.
Strong organizational and interpersonal skills.
Experience in MS Office – Word, Excel and PowerPoint.
Ability to work independently and effectively in a face paced environment.
