Administrative Assistant

Role

Support CEO and the Lake Growth team, to offer an expedient and professional experience for families and small businesses.

• Valid IL Driver’s License and working vehicle

Responsibilities

• Report to the Operations Manager of Lake Growth to keep current on Tasks and Activities on CRM.

• Be the front “face” of Lake Growth to existing and prospective clients presenting an excellent first impression, by email, on the phone, and in person.

• Must dress professionally in business casual attire.

• Respond to inquiries promptly and follow up to ensure timely implementation.

• Must be able to work independently and be available at a moment’s notice for calls from Lake Growth team members.

• Must follow confidentiality and HIPAA guidelines, protecting client privacy.

• Follow common sense, pay attention to the details and follow instructions.

Job Activities

• Call prospective clients to meet, greet and help them get started.

• Coordinate calendars of several professionals.

• Confirm appointments.

• Manage inbound and outbound messaging with stakeholders (clients, financial professionals, CPAs, insurance companies) to help meet client goals.

• Customer service, including connecting with new and existing clients through various modalities including email, phone, postcards, etc. to help them meet their goals.

• Organize and clean our small office on a weekly basis (water plants, dust, sanitize surfaces and doorknobs, clean glass, vacuum, take out the trash, restock water bottles in the small refrigerator, arrange flowers as needed), leaving everything in good order for meetings.

• Create and send a list of office supply refills needed (pens, printer paper, ink, etc.).

• Process inbox and physical mail, including UPS, USPS, and FedEx run as needed.

• Send greeting cards for various client occasions (anniversaries, birthdays, new babies).

• Send postcards and direct mail campaigns (via online direct mail services).

• Send documents for signature.

• Manage and organize client data (adding spouses, children, updating addresses, etc).

• Process and complete tasks to hit deadlines and quotas for the team.

• Listen to, thank, respect, warmly welcome, and honor all clients. Must maintain client and company confidentiality.

• Welcome occasional clients to our physical office for meetings.

• Follow up with officers, stakeholders, and clients in a timely manner.

• Support the Customer Service Manager with phone calls, emails, filling out paperwork, sending documents, answering questions, collaborating, running errands, etc.

Business Support

• Collaborate with the Administrative Team in Daily Operations of Lake Growth.

• Maintain workflow and current client/prospective client status on the database.

• File management and organization, including paper and digital filing.

Position takes instruction from Company Officers (CEO + COO) and Operations Manager

Expectations Of Virtual Assistant Team Member: Kindness, timeliness, professionalism, phone skills, communication prowess, perseverance, diligence. Daily work must be processed with promptness and care. Work environment needs to be quiet and professional. Clients and coworkers must be treated with honor, care, respect, and appreciation. Must be reachable by mobile phone and video conference. Very occasional in-person meetings (our meetings are mostly virtual, under the current circumstances).

You can expect: Daily touchpoints, in person or by phone, with the CEO for updates, questions, and clarifications. Weekly status/coaching meetings. 90 Day (Quarterly) evaluation meetings with officers. May work virtually (up to four days a week, depending on schedule). Materials (computer, phone, office supplies, etc.) provided. Timely pay with benefits. W-4 slip prepared. An excellent, growing business context.

Compensation

This is a 40 hour a week position (M-F from either 8AM-5PM OR 7AM-4PM with a one-hour lunch break). Competitive hourly with bonuses. $20-24/hr. Paid Federal holidays. Additional health benefits are available.
