About the Job
The Brand Administrative Assistant is responsible of operating different administrative processes, such as: managing the billing process with multiple vendors on a monthly basis, tracking budget expense, requesting product samples for PR actions and assisting the coordinator in different tasks that ensure a smooth operation for the Dockers Brand Marketing Team while launching high impact campaigns on a timely manner.
Billing Process
  • Responsible of submitting requests for Brand Marketing expenses.
  • Ensure vendors receive POs and their invoices are submitted on-time.
  • Support vendors in the process of submitting invoices.
  • Follow up the billing process with other internal areas.
  • Request new vendors setups in our internal software.
  • Responsible of processes that involve LS&Co. submissions in the vendors systems.
  • Monthly conciliation with advertising agencies.
  • Track budget expense by month, semester and year.
  • Submit invoices of automated vendors (Facebook, Google, among others).
  • Ensure automated vendors receive their payment on time.
Sample management
  • Request samples with the merchandising team for showroom activities (editorial loans, press days, etc.) at the beginning of each season and coordinate the return of them when the season is over.
  • Request product for Public Relations activities (influencer seedings, giveaways, etc.)
  • Coordinate product delivery between the Distribution Center team and PR Agency.
Brand Marketing Assistance
  • Manage the monthly organic content grid for social media.
  • Ensure media agency receives all the information needed to launch digital ads campaigns.
  • Gather reporting information when needed and ensure agencies deliver reports on time.
  • Assist brand marketing coordinator with creative/operational input for online and offline campaigns.
About You
  • University Degree, preferably in administration, marketing or similar.
  • 1+ year experience in a similar role.
  • Experience dealing with suppliers and doing billing processes with automated softwares.
  • Microsoft Office Suite advanced knowledge.
  • Spoken and written English (advanced proficiency).
  • Previous experience in fashion retail is a plus.
  • Strong project management skills.
  • Organized, structured, proactive, problem solver.
  • Strong communication and collaboration skills.
