The Office Support Assistant provides support to an executive / Senior Leader, or executives / a leadership team, in a manner that enables the leader(s) being supported to efficiently and effectively manage any matters that require attention.
Office Assistant’s main duties are as follows:
preparing documents for scanning.
scanning of the documents.
checking the quality of the scanned documents.
shredding the scanned documents.
Duties and Responsibilities
Document Prepping: Prepare documents for scanning by removing staples, paperclips, sticky notes and straighten bends or creases in the documents.
Document Scanning: Scan each document in the files, including double-sided pages and save in a digital format within the network file system.
Quality Control: Checks the quality of scanned documents to ensure the documents are scanned, accurately, and a clear quality image is captured.
Scanned Document Storage: Ensures each scanned file is properly named and saved to the correct client file network drives.
File Retention: After scanning, keep all original paper documents as per instructions from Supervisor. Example: client beneficiary forms
File Destruction: Shred all file documents that are not required to be kept in paper format as per the retention policy.
Education, Experience, and Skills
Minimum of 1 year of work experience.
Post-secondary education an asset.
Strong communication (verbal and written) skills.
Excellent interpersonal skills with a professional demeanor.
High attention to detail and accuracy.
Strong administrative and organizational skills with ability to multi-task and meet tight deadlines.
Proven ability to work in a team environment and/or independently with minimal supervision.
Good computer skills with basic level proficiency with Outlook, MS Word, and Excel.
Highly motivated and flexible.
