PROGRAM LIAISON & OFFICE ASSOCIATE – Office of Creative Portland
Housing and Economic Development Department – Deadline Extended – The Office of Creative Portland seeks a candidate to assist the Executive Director in all administrative details associated with the Office. Responsibilities include relieving the Executive Director of administrative detail, administering certain programs and performing important liaison work with internal and external customers. This position reports to the Executive Director. Duties: Serves as administrative support to the Office, including program coordination, database creation and management, social media responsibility, including website design and management; volunteer recruitment and coordination; Creative Portland Board meeting agenda/packet preparation and taking and transcribing Minutes of Board meetings; all general office duties and experience with Microsoft Office software, Adobe Suite, and online tools like Google Drive; funding raising support to the Executive Director to track the efforts, donor outreach database, mail mergers, receipts and acknowledgements, managing donor records, and program budget spreadsheets; track program expenses and revenues and generating weekly informal financial reports to the Director and bookkeeper; creating written reports. Requirements of Work: Graduation from a four-year college or university, or any equivalent combination of training and experience, and two to four years working with a non-profit organization, preferably in the arts or economic development. Excellent communication and customer service skills. Knowledge of the basic principles of organization, financial management and administration, and some knowledge of accounting. Ability to work independently, to meet deadlines, and to coordinate multiple responsibilities. Ability to present facts and express ideas effectively, both orally and in writing. Experience analyzing a variety of administrative problems; to make recommendations for their solution; and to put such recommendations into effect. Ability to establish and maintain effective working relationships with other City staff, and the general public. Strong experience using computers, productivity software, and social media creation and publishing. Necessary Special Requirements: Offers of employment are contingent upon the completion of a satisfactory criminal background check. Pay range starting at: $38,668/year.
