MakeWay Hiring for Coordinator at Remote Full Time

We are looking for a new team member to join our People Engagement and Learning team. This position will provide administrative and data management support to the department and the Shared Platform for Canada Summer Jobs (CSJ). You are thorough, switch tasks efficiently, and balance competing priorities with ease. Additionally, you bring strong administrative skills to the team with your attention to detail and are always a few steps ahead of others in planning and organizing.

MakeWay builds partnerships and solutions to help nature and communities thrive together. We are made up of two legal charitable entities: MakeWay Charitable Society, a shared platform home to over 65 innovative community-led projects staffed by 150 change makers; and MakeWay Foundation where about 70 people are advancing place-based programs that support Indigenous-led solutions and conservation in the North, Pacific, Manitoba, and beyond via grant-making, funder collaboratives and other tools. Our people, projects, and partners are based across the country.

What You’ll Do:

• Provide support for the People Engagement and Learning (PEL) department including processing requests, prepare new hire documents, enter and ensure that our systems reflect accurate and up-to-date information, and assign training modules etc.
• Provide support in the recruitment process including reviewing and advertising job postings, resume screening, and conduct phone screens, and reference checks.
• Assist in maintaining H.R.I.S and internal database to ensure accurate data entry and filing system for new hires.
• Manage CSJ application deadline using Microsoft Outlook to keep track of submissions.
• Prepare and coordinate submission of all CSJ applications and follow through with submission for employer questionnaires at end of employment period.
• Manage data in Salesforce and Smartsheet, ensuring systems of record are complete and up to date.
• Coordinate approvals and/or signing of funding agreements, payment claim submissions, and employee declaration forms in the GCOS system.
• Correspond with Project Specialists, Project Directors, and Finance on applications, hiring, and claim variances.
• Communicate with ESDC on change requests and payment claims while ensuring timely response to requests.

• A great communicator: In written communication, you provide clear and actionable information. You are helpful and friendly on the phone, and your emails are clear and informative.
• Data management: You are able to accurately maintain and enter data into the systems/applications to ensure quality and completeness.

Experience You Bring:

• Two years of related work experience in one or more of the following areas: coordination of applications and submissions, data entry, document management, and administration
• Expertise with Microsoft Office Suite, including strong Outlook, Word, and Excel proficiency
• Experience working in a high-volume, deadline-oriented position
• Experience working with large databases and datasets

It Would be a Bonus if You Have:

• Experience in the charitable/non-profit sector
• Prior experience with Salesforce and/or Smartsheet
• Experience with Dayforce
