Executive Administrative Specialist

Malu Productions is looking for an efficient, positive, self-motivated executive specialist whose main role will be to provide direct assistance to the company president to help oversee a small administrative team along with day-to-day operational/administrative tasks. We are a dynamic local entertainment production company providing high quality entertainment to various luau venues, cruise ships, restaurants, hotels, and shopping malls. We need a high performer who is detail oriented, independent, a quick learner, master organizer and accountable to all parts of the work.

Responsibilities include, but are not limited to:

• Learn all aspects of the company, as well as basic show production principles and techniques.
• Lead, oversee, and support administrative/office operations.
• Communicate with customers, vendors, and performers utilizing various platforms (phone, email, text, apps).
• Collect key information from managers’ quality assurance reports and strategically share improvements for upcoming events.
• Schedule cast for production events and weekly shows.
• Oversee the coordination of costume and equipment inventory such as labeling, cleaning, storage, delivery; organize repairs and replacements.
• Create forms, lists, templates, tracking spreadsheets, presentations, and reports using MS Office software.
• Oversee that the office remains neat and organized at all times; maintain office policies and procedures to ensure efficiency and excellent service delivery.
• Contribute to a strong team dynamic with open communication and a commitment to excellence.

Minimum qualifications:

• Must have strong professional work history.
• Prefer college degree with at least 1-2 years of experience in a similar admin position.
• Able to provide high-level administrative work in a very busy, demanding environment.
• Excellent verbal and written business communication skills (telephone, email, and text messages).
• Problem-solving, pro-active, professional attitude, who is prompt and reliable.
• Willing to learn and adapt to fit company values and goals, adhering to policies and procedures.
• Critical thinker who seeks to understand, and is willing to ask clarifying questions to ensure exemplary service delivery and quality output.
• Must be extremely detail oriented with good organizational skills and the ability to manage many pressing tasks at once.
• Proficient in MS Excel, Word, and Power Point.
• Familiar with Office 365 environment.

Pay: $28.00 – $40.00 per hour
