Job Description – Manager

This job description is designed to give an indication of the type of work and performance expected of the jobholder. It does not provide an exhaustive list of duties or performance standards and the jobholder agrees to undertake any other tasks that are consistent with the position and with the provision of quality service to the organisations (Maniototo Ice Rink Inc. and New Zealand Olympic Luge Association Inc.). This includes the provision of support to other areas of the businesses as required.

Position Purpose 

The purpose of the Manager is to be responsible for the day to day management and operation of the Ice Rink and Luge, ensuring all customer orientated aspects of the operation run in a smooth and efficient manner. The Manager leads and directs a small team of staff and volunteers for the organisations to ensure that operation of the facilities during the winter season and customer satisfaction is optimised. The Manager must portray a good image to customers, visitors and the general public. Phone manners, interpersonal skills and customer service are an intrinsic necessity for this position.

Hours of Work 

This is a fixed term position for 3 months from approximately mid-May to mid-August. Hours will be variable, subject to demand and weather, and the Manager will be expected to work up to a five day week. The Manager will need to demonstrate flexibility and willingness to change working days when adequate notice is given.

Reports to – Chairman of Maniototo Ice Rink Inc. 

Location – Based at Maniototo Ice Rink, Naseby, Central Otago

Expected Behaviours

Office and skate hire

• Maintain staffing schedule (paid staff and volunteers) to match operating requirements.
• Perform duties as needed, including collecting admission fees, ice rental payments, track fees and making kitchen sales.
• Have thorough knowledge of and provide information regarding fees, programmes, schedules, and rental information to customers. 
• Work with user groups to coordinate and schedule regular and one-off use of rink and track, as well as parties, events and tournaments.
• Coordinate school classes, programmes, camps and special events.
• Work with vendors and suppliers to ensure facility has supplies/equipment needed to run efficiently and effectively.

Customer Service:

• Offer excellent customer service to all patrons; develop and maintain strong relationships with facility user groups; and maintain public relations and patron satisfaction.
• Create a welcoming atmosphere through staff training on a high level of customer service and care of physical environment.
• Enforce policies and rules to ensure the safety of all guests; intervening in situations related to public safety as necessary.

Facility Operation (in conjunction with Ice Master and Luge Track Coach)

• Ensure excellent quality of ice on rink and luge track at all times.
• Ensure equipment is in good working order at all times.
• Ensure emergency supplies (e.g., first aid kits, fire extinguishers, etc.) are available and in good working order.
• Monitor building security, maintenance and custodial duties throughout the facility.
• Co-ordinate curling competitions as required including entries, draws, communications, fee collection, results etc.

Staff

• Evaluate staffing needs (including recruitment, hiring, training, and evaluation of staff and volunteers) in conjunction with the Chairman to ensure the facilities operate efficiently.
• Create and oversee the work schedule to cover daily operations; utilizing staff and volunteers productively, especially during slower times.
• Maintain a volunteer register, i.e. who volunteers are, when they are available, their skills etc.
• Develop and update safety policies, implement, and ensure staff and volunteers are fully trained.
• In conjunction with Chairman, provides staff and volunteer reviews as needed and maintains open communication with staff and volunteers to ensure all are up-to-date on the most recent procedures and policies.

Financial

• Collect monies.                 
• Maintain the agreed cash float for each day’s trading.           
• Responsible for the security of money including securing money safely at the end of each day.
• Maintain attendance register for all staff.

Season passes

• The Manager is expected, as far as possible, to identify casual users who live in the Maniototo area and undertake self-introduction. Casual users living locally are to be encouraged to purchase a season pass.

Correspondence

• Communicate in a professional manner

Kitchen

General

• Maintain a high degree of cleanliness in the Office/Skate Shop, Kitchen, Patearoa Lounge and Toilets. 
• Maintain the areas surrounding the Rink, Office/Skate Shop, Kitchen, Patearoa Lounge and Toilets.
• Maintain heating and lighting in the Office/Skate Shop, Kitchen, Patearoa Lounge and Toilets.
• Keep notice boards current.
• Calendar all rink and track use.
• Prepare an advertising plan (e.g. news media, magazines, radio, internet, social media, facebook etc.) and budget for approval by the Chairman, and implement agreed plan.

Health and Safety

• Responsible for the management of the Health  and Safety programme including ensuring the health and safety of staff, volunteers, users (including season pass holders, casual users and the general public) and contractors.

QUALIFICATIONS

Preferred Education & Experience:

• Experience in a related position, e.g. ice rink experience, including knowledge of rink operations and equipment (or alternatively experience with other outdoor activities/attractions, e.g. ski area operations, swimming pool etc.).
• General business operation and administration, including front of house and customer service. 
• Personnel management, including hiring, supervision, evaluation and training.
• Knowledge of and experience with health & safety management. 
• Creating, marketing and building new programs.

Knowledge/Skills:

• Ability to work independently with strong self-motivation and effective time management skills.
• Ability to attract new users and communicate effectively with user groups and guests.
• Ability to think strategically and develop “out of the box” ideas for increasing revenue and controlling costs.
• Ability to analyse problem situations and develop effective solutions exercising good judgment.
• Strong organizational skills with the ability to prioritize multiple tasks.
• Knowledge and skill in managing people, motivating and supervising a team of employees and volunteers; and providing strong leadership and direction.
• Proficiency with standard office and computer equipment, programs including Microsoft Office (Word and Excel), email, social media, website management and Facebook.
• Workplace First Aid certified and health & safety requirements.

Physical Requirements:

• Must be able to lift 20kgs. Requires climbing, reaching, bending, pulling, and lifting. Some work is done on a slippery surface and varying environment including cold temperatures.
• Must be hands on, organised and outgoing.
• Must be enthusiastic, friendly and courteous.
• Must be willing to perform other duties, work irregular hours, and assume added responsibilities as needed. Must be able to work a variety of shifts including nights, weekends and holidays.
• Must be committed to providing excellent customer service and lead staff and volunteers by example.
