Position Summary:
Providing various support for the employees that are assigned to the Region and support for area Supervision to alleviate administrative burdens within the region.
Key Responsibilities:
- Performing standard office functions such as answering phones, directing and monitoring of traffic into and out of the regional office, maintaining office supplies, communication, data and office equipment, scheduling meetings within the Region, assisting with travel and meeting arrangements for personnel traveling to and from the Region.
- Check requests and funding for ROW, donations and other special functions that are not allowed to be expensed on P Cards.
- Condensate and Water disposal documenting and reconciliation for accounting purposes.
- Engine run hour reporting for environmental monitoring, operational support and planning and scheduling.
- Creating Purchase Order requests, addressing issues that cause Purchase Orders to be placed on hold that are not associated with Work Orders.
- Work through aged purchase order report and the PO receiving report to ensure that POs are closed in a timely manner.
- Reporting and monitoring of vehicle expenses, vehicle registrations and tags, fuel usage and miles driven per period.
- Gathering and documenting dehy/flare reports for emissions requirements.
- Monitoring of vendor’s changing status of MSAs and PSAs, gathering the required information to create BAs for new vendors.
- Support accounting functions within the Region, by gathering accrual data and additional information needed from purchasers and vendors at period end.
- Assisting with the scheduling of training activities to ensure that personnel and facilities are scheduled according to COVID protocols.
- Create and maintain reports as deemed necessary to support the operations of the Region
Minimum Qualifications:
- Minimum High School Diploma or equivalent
- High degree of expertise in Word, and Excel
- Must have strong organizational skills, excellent verbal and written communication skills, ability to set and organize work priorities, excellent time management skills and the ability to work with confidential information.
