The basic function of the Bookkeeper / HR Admin is to define, execute and improve our financial, HR and office administration systems
Role:
Create a weekly email report to Allison, whom you are covering temporarily, to report on any changes, updates, accomplishments, questions and feedback to maintain a relationship throughout your time in this position. Also in the weekly report include an overview of work done that week to keep Allison up to speed.
Create, implement, adjust and document policies to guarantee operational efficiency, profitability and compliance
Follow up with accounts receivable and escalade non payments to GM
Manage hiring leads and onboard new employees
Add employees to QBO, then Knowify
Approve site staff’s hours in Knowify
Monthly bill payments
Payroll / subcontractor payments weekly
Create employee profile and/or termination in QBO and ROE online.
Manage employee benefit plan
Manage accounts payable / receivable, perform collections and contact customers/vendors as needed
Negotiate terms and credit with vendors
Manage paid time off, holiday hours and eligibility
Maintain an organized, secure cloud based filing system for company documents
Create and/or edit handbooks/SOP’S related to company policy, onboarding etc.
Assist in the filing and submission of paperwork required for business
Possess and understanding of employment law and compliance regulations specifically for construction
Prepare HR documents like employment contracts and new hire guides
WSIB compliance
Maintain employee files with respect to confidentiality and compliance
Maintain confidentiality and professionalism in all things related to bookkeeping, pay, benefits and other private matters
General administration duties as necessary
Support, assistance and/or managing of special projects. You are flexible and can fill in any gaps we might have to help the company to run smoothly
Other tasks as requested by the Vice President of Operations or the owners.
RESULTS:
A key back office support to our growing team. You maintain fiscal responsibility, legal compliance and the utmost organization of company documents and processes while covering this position.

Working Conditions:
This position works in a standard office environment. The office environment is controlled and maintained in a safe manner. Must occasionally travel to meet customers or vendors. Is exposed to driving hazards.
Physical Demands:
Prolonged periods sitting at a desk and working on a computer.
