The Intelligence Platform team is seeking an experienced Executive Business Administrator to provide support for our Corporate Vice President.
The ideal candidate for this role will have experience navigating and changing directions quickly within a fast-paced engineering environment. As the front-line representative of the office of the CVP, this person will have stellar interpersonal skills, strong attention to detail, the ability to self-direct, solid organizational skills, demonstrated initiative, strong work ethic and the ability to handle multiple tasks simultaneously.
This person will communicate effectively and collaboratively with a globally distributed leadership team, and others at all levels of the organization. This person must uphold the highest level of integrity and business professionalism to be able to deal with highly sensitive information with absolute confidentiality.
Responsibilities
As an experienced Executive Business Administrator, your job duties include:
Management of the CVP calendar with strong attention to accuracy, timeliness, conflict resolution and alignment to the leader’s priorities and commitments
Partner closely with the Chief of Staff, Leadership Team, and other key business stakeholders to ensure strategic time management for the CVP
Partner closely with the Chief of Staff on the rhythm of the business, Customer and Partner engagements requiring the CVP, and ensure tight coordination of commitments
When travel resumes, plan and coordinate domestic and international travel arrangements including the ability to map logistics pursuant to the cultural and business protocols; meet the travel requirements of the CVP and traveling team; and partner with the Chief of Staff in planning meetings and logistics.
Timely and accurate reconciliation and approval of expenses and other discretionary budget within the central, staff and Leadership team
Coordination and logistical support for onsite and offsite meetings/events including location planning and support for All Hands, Morale Events, Team Training and Leadership Offsites
Assist with core business management functions including but not limited to org chart maintenance and distribution and security group ownership and management
Take an active leadership role for the broader Intelligence platform admin team and providing coaching and mentoring to other FTE or vendor admins as needed
Partner and closely collaborate with other Executive Admins within Azure Data and Digital Transformation Platform (DTP)
Qualifications
Required qualifications:
5+ years’ experience in an executive administrative support role
5+ years with advanced skills with Microsoft productivity software including, Outlook, Word, Excel, and PowerPoint
Additional qualifications:
Demonstrated experience using collaboration tools including OneNote, SharePoint and Teams, as well as knowledge of internal applications including, Employee Central, HeadTrax, MSExpense2, MyOrder, MS Travel, MSS and iCIMS
Experience in successfully partnering with Chief of Staff and business management team, as well as multiple EAs and administrators
Ability to work independently while being proactive and changing direction in response to an agile work environment
Consistently demonstrate drive and initiative to identify, solve, and follow-through on problems and to achieve results in a timely fashion with a high degree of accuracy and professionalism
Outstanding written and verbal communications skills
Excellent organizational, interpersonal, and cross-collaboration skills
