In this position you will be the Business Administrator supporting two Senior Leaders and their Surface Devices DEV Team in a fun and fast-paced environment.
Responsibilities
Key responsibilities include but are not limited to:
CALENDAR MANAGEMENT
Proactively managing calendars, making decisions on behalf of the calendar’s owner to prioritize calendar requests based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time.
TEAM SUPPORT
Deliver exceptional team support by anticipating needs, acknowledge team requests timely and communicating expectations with follow-through until requests are resolved.
Inform and provide guidance on procedures and tools, such as MSExpense2, MS Policy, HRWeb, Employee Central, iCIMS, PC Refresh.
Enthusiastically manage the team morale with the Leadership Teams, creating diverse, inclusive, and fun experiences with the teams through virtual and in-person events.
Manage domestic and international travel plans and agendas.
BUDGET MANAGEMENT
Forecasting and monthly manage the annual discretionary budget to maximize the team impact.
Review the Month-End General Ledger and submit Journal Entry Reclasses when needed to ensure cost centers and categories are correctly charged to the budget.
Prepare and Process Expense Reports.
Team Expense Report Interim Approver to manage all team purchases ensuring purchase approval, correct category, and budget allocation for all Expense Report submissions.
HARDWARE AND PROCUREMENT MANAGEMENT
Submit equipment order requests with the Devices Tech Team, track deliveries and invoice against equipment, peripheral, reference, and supplies requests.
HEADCOUNT MANAGEMENT
Partner with business administrative and business management teams, COS, Hiring Managers and Recruiters with creating requisitions.
Track details, status and start/attrition dates of employee, intern, and vendor positions in headcount tools: iCIMS, Employee Central, Headtrax, HR Insights.
Provide HR Managers guidance, expectations, and processes of Internal/External/Vendor Recruiting.
Manage New Hire onboarding, including team specific HW bundles and project equipment.
SPACE PLANNING
Collaboration with Space Teams Representatives, Leadership Teams, and partner Admins to plan and execute our space management.
SPECIAL PROJECTS
Assist with ad-hoc and routine ROB projects as needed, such as the seasonal intern onboarding/offboarding, PC Refresh and Analysis, Storeroom and Lab Clean-Ups, Ship-It Distributions, etc.
Qualifications
Required Qualifications:
5+ years of business administration work experience
Proficiency with Microsoft software, including Microsoft Office and Outlook
Preferred Qualifications:
Expereince with discretionary budgets, headcount management and employee onboarding, and team events.
Experience ensuring a timely flow of information and process approvals as appropriate.
Effectively communicate and build relationships with the business support community and leadership.
Influence and embrace cross-functional/cultural teams with a willingness to collaborate and be a team player.
Strong interpersonal and communication skills, including teamwork, facilitation, and negotiation.
Analytical thinking and ability to quickly diagnose operational data, and then act on decisions.
