What can I expect to do in this role?

In this position, you will:

• provide program, administrative and financial support
• compose routine correspondence and emails
• respond to general inquiries regarding functions and procedures
• maintain director’s calendar, organize and coordinate meetings and events
• coordinate the reporting, tracking and monitoring of work flow documentation
• provide advice and guidance to unit staff on administrative standards, procedures and protocols
• maintain manual and electronic filing systems
• coordinate the purchasing of supplies and services

How do I qualify?

Administrative and Financial Expertise:

• You have administrative experience and knowledge of financial processes, standards and best practices.
• You have knowledge and experience working with office procedures, practices and guidelines.
• You have experience assisting with financial budgeting processes, reconciling expenses, completing calculations and preparing reports.
• You have an understanding of human resources administrative processes and procedures to support the completion of required documentation (e.g. onboarding process).
• You have experience maintaining electronic and manual filing systems.

Communication and interpersonal skills:

• You have written communication skills to prepare letters, reports, presentations and draft minutes as well as proofread for spelling and grammar.
• You have communication skills to gather and share information and respond to inquiries.
• You can exercise good judgment when interacting with other governments and stakeholders and when dealing with sensitive information.

Organizational skills:

• You have time management and organizational skills to provide administrative support and assistance to a number of staff, respond to urgent demands for assistance and track priorities.
• You have the ability to arrange meetings and maintain manager’s calendar while dealing with fluctuating workloads and priorities.

Reasoning and Problem-Solving Skills:

• You have good reasoning and problem solving skills to determine the nature, urgency and appropriate action required when providing administrative services.
• You have the ability to work independently, as well as operate effectively as member of a team.

Other Essential Skills:

• You are proficient with computers and all aspects of desktop software such as word processing, databases, email, internet, spreadsheet preparation and creating presentations.
• You have experience using a variety of standard office equipment (e.g. printers, photocopiers, fax machines) to troubleshoot routine issues.
