Position Title: Executive Assistant to the Superintendent
FSLA Status: Exempt
Responsible to: Superintendent Supervises: No one
Evaluated by: Superintendent Term of Employment: 260 days
Evaluation Period:
Formative evaluations throughout the school year as per MCSC Performance and Assessment Procedures
Annual summative evaluation prior to July 1
Purpose of the Position:
The job of Executive Assistant to the Superintendent was established for the purpose of assisting the
Superintendent in the daily operation of the district as well as the planning, implementing, directing and maintaining of District programs by providing a wide variety of complex and confidential administrative and secretarial support; analyzing requests and providing recommendations for action; and communicating information on behalf of the district and the governing board to its staff, other districts and public agencies.
Classified as Confidential Employee:
Functional responsibilities or knowledge in connection with the issues involved in dealings between the school corporation and its employees require strict adherence to confidentiality. Professionalism must be a priority at all times.
Minimum Requirements:
The following qualifications represent the minimum requirements necessary for an individual to perform this position effectively.
Associates Degree in Office Management, comparable training, and/or management experience preferred
Technology Skills Required: Office Suite (Advanced Word, Advanced PowerPoint, Advanced Excel and Access), Preferred: Student Management Platform/Database, Outlook, and other educational and design software

Strong problem-solving skills
Must be able to work independently with no supervision and able to manage multiple priorities
Knowledge of budgets (fund accounting)
Knowledge of effective internal supervision practices
Responsibilities:
The following functions have been determined by MCSC to be essential to the successful performance of this position.
Coordinate, plan, and organize all activities, reports, and communication of the Superintendent
Become familiar with the requirements of the IDOE and the IEERB
View and solve problems from a variety of perspectives with multiple solutions
Proactively work with patrons to improve communication procedures
Initiate, implement, and sustain improvements in data and informational management and retrieval in Superintendent’s office
Plan, organize, coordinate, and supervise the preparation, printing and distribution of Board agenda and related materials, notices, bulletins, and other communicative documents
Solicit suggestions, interpret materials and procedures, and proactively initiate improvements regarding coordination of MCSC workload, reports, etc.; identify redundancy and duplication and initiate changes to streamline processes
Compiles data from a wide variety of diversified sources (e.g., staff members, Board Members,
Community Organizations, government agencies, etc.) for the purpose of preparing reports, making recommendations and/or preparing information
Maintains a wide variety of complex manual and electronic documents, files and records (e.g., contacts, time sheets, legislative information, databases, etc.) for the purpose of providing up-to- date information
Prepares a wide variety of complex written materials (e.g., correspondence, agendas, minutes, event programs, bulletins, reports, etc.) for the purpose of communicating information and/or creating documentation in compliance with established guidelines
Researches a variety of topics (e.g., current practices, policies, education codes, board agenda items, parental complaints, legal updates, etc.) for the purpose of providing information and/or recommendations and/or addressing a variety of administrative requirements
Responds to a wide variety of calls, concerns and/or complaints for the purpose of resolving problems, providing information and/or referring to appropriate personnel
Schedules a wide variety of activities (e.g., appointments, meetings, travel reservations/accommodations, facility usage, etc.) for the purpose of making necessary arrangements for the Superintendent, other administrators and/or board members
Coordinate the setup of the Board room for regular Board meetings and away meetings, making sure audio and visual equipment is in place and working properly
Independently compose correspondence for the Superintendent’s review
Manage the daily paper flow of documents needing the Superintendent’s signature, daily mail, dailyfiling, telephone calls and messages, schedule appointments for the Superintendent, etc.
Plan and coordinate meetings with various MCSC departments and administrative assistants
Attend weekly administrative meetings, take and translate minutes on a weekly basis
Document and follow-up with administrators on resolutions to parent complaints
Track administrators’ days off
Participate in evaluation of other administrative assistants and clerical staff if needed
Knowledge of:
Policies and procedures related to office administration
Applicable software and applications
Ability to:
Plan, organize, and schedule priorities
Use judgment and initiative in making sound decisions and in developing solutions to problems
Discreetly handle confidential and politically sensitive matters

Establish and maintain effective working relationships with students, staff, and the community

Must be able to lift items of 20 lbs. occasionally
Occasionally required to move tables and chairs in Board room or conference room
