Key Duties and Responsibilities

• Review contracts for the company’s general and administrative functions, including providing support to the Company’s human resources, operations, and corporate functions.
• Ensure compliance with company policies, procedures, and guidelines.
• Communicate effectively and in a timely manner on critical contract – and legal – related matters, including proactively educating vendors on contract review and submission processes.
• Prepare contractual provisions and administer contract proposals
• Lead the complete life cycle of the Company’s contracts (from initial request to final signature and contract distribution)
• Handle and maintain Contracts Database
• Act as an Executive Assistant to the CEO by performing varied, complex, sensitive and confidential office administrative and secretarial support functions for the CEO; and performs related duties as assigned.
• Coordinate daily calendars for the CEO & Executive team
• Coordinate schedules, meetings (telephone conference, Zoom meetings, etc.) across many entities, time zones, and international lines
• Research and prepare reoccurring reports, presentation materials, type meeting minutes, and other correspondence/forms
• Act as the administrative point of contact between the executives and internal/external clients
• Plan and supervise all personnel travel arrangements including air travel, ground transportation, and accommodations for local employees as well as guests (when necessary).
• Perform research, data collection, statistic compilation and document generation as necessary to complete special projects
• Coordination and organization of events as assigned.

Qualifications: Knowledge, Skills & Abilities

• Licensed Paralegal ( Preferred)
• Proven work experience as an Assistant, Executive Administrative Assistant or similar role
• Ability to organize a daily workload by priorities.
• A proactive approach to problem-solving with strong decision-making skills.
• Excellent MS Office knowledge
• Familiarity with online calendars and cloud systems
• Experience using office equipment, including printers and fax machines
• Professional level verbal and written communications skills.
• Experience exercising discretion and confidentiality with sensitive company information
• Excellent organizational skills with an ability to think proactively and prioritize work
• Must be able to meet deadlines in a fast-paced quickly changing environment.

Education

• Bachelor’s degree
• Three years of paralegal experience preferred
• Five years of executive assistant experience preferred
• Experience managing multiple calendars preferred
• Experience booking travel preferred

Physical requirements/Working conditions

Primarily working in a basic office environment: ability to sit, stand, walk, kneel, stoop, use stairs, reach, pull and lift objects up to 15 lbs.
