Founded in 1910 and located in Calgary, Alberta, Canada, Mount Royal University grew into a vibrant college in the 1930s and became a mid-sized university in 2009. Mount Royal has carved out a distinct niche by offering smaller class sizes, a robust liberal education and unique undergraduate programs. About the Role

TITLE: Administrative Assistant to Chair

SUPERVISOR’S TITLE: Chair, Entrepreneurship, Marketing, and Social Innovation

The Administrative Assistant performs a range of complex administrative duties to support the Department Chair in a timely, effective and efficient manner. The incumbent works with a high degree of independence and relieves the Chair of the many administrative responsibilities. This individual is the communication link between faculty, staff, students and the community. A key focus of the position is coordination and implementation of administrative functions within the department to ensure each semester runs smoothly and efficiently. The position also acts as the front line contact, ensuring that a positive image is projected at all times and that enquiries are responded to in an effective and knowledgeable manner.

Responsibilities:

Administrative support to the Chair

• Schedule appointments for the department chair, including booking rooms and coordinating catering
• Draft letters and other correspondence on behalf of the Chair
• Track and report on department metrics
• Assist the Chair with workload distribution and assignments for full-time and contract faculty
• Work closely with the Chair to schedule classes, including: input into scheduling programs; coordinate Faculty schedules and classes offered; maintain current course registration and waitlist numbers for additions and cancellations; and liaise with Scheduling

Administrative support to the Department

• Respond to and/or redirect inquiries received in person, by phone or by email
• Act as the primary communication link between students/public and the faculty/staff
• Schedule and coordinate department and other assigned Bissett meetings including booking rooms, preparing and distributing agendas, and taking minutes
• Work closely with the faculty, assisting with exam schedules and deferred exams
• Provide logistical support for part-time faculty recruitment. This includes organizing and coordinating hiring documentation for the hiring committee; preparing offer letters; preparing normal and overload contracts; updating individual information; generating IDs and onboarding
• Provide logistical support for Student Perception of Teaching (SPoT) including: arranging and ensuring completion of documentation; arranging for instructor signatures; and reviewing student evaluations for discrepancies and other details
• Update, organize orders and review textbook adoptions
• Update contact lists as required
• Coordinate event logistics including room scheduling, advertising, floor plans, food, flowers, etc.
• Coordinate guest logistics including hotel, flight and transportation planning and booking

Other administrative support

• Share reception coverage with other Administration staff during breaks, vacations, and other absences
• Update student and faculty personal information in Banner
• Other duties as assigned.
