My Investment Brokers (MIB) Hiring for Executive Assistant Job at Oakville Full Time

We are a mix between a Marketing Team & Real Estate Sales. We are a well established, reputable Real Estate Brokerage specializing in the sale of pre-construction properties. We are seeking an individual to fill the position of an Executive Assistant. This role will consist of assisting the principals in overseeing the execution of daily and weekly workflow operations as well as coordinating tasks and projects in each department. This is a high intensity and fast-paced environment and we are looking for someone who thrives in this type of environment. Someone who can be held accountable and will efficiently manage employees and ensure all tasks and projects are being completed in a timely manner. We value Proficiency to Learn Quickly & Adapt, Skills & Task Oriented Individuals over specific experience.

Responsibilities

• Liaise with and assist communication between field agents and management
• Ensuring all company objectives and protocols are met
• Be accountable for all items and ensuring completion where nothing slips between the cracks
• The ability to outsource or contract out work when necessary
• Perform administrative and clerical tasks
• Provide telephone and email support to internal departments
• Perform and complete daily and weekly tasks
• Support each department with internal operations
• Proof Reading all material
• Regular meetings to discuss operational and department tasks & goals. Then coordinating all tasks to be completed in a timely matter with other staff members/departments

Required Skills

• Organization Skills are a 10+. We are a Very Fast Paced Environment with multiple items happening at once
• Great communication skills (verbal and written)
• Great with PCs (Office, Internet, WhatsApp, a MUST – bonus if you have any PDF Software, G Suite, Drive, Dropbox, Photoshop Skills)
• Good with Technology: We use a variety of different tech programs, looking for a quick learner who is able to pick up things on their own and figure things out on your own or with little direction. Looking for someone who is shown it once or twice and then then knows how to move forward
• Attention to Detail – we have dozens of requests and items to do at once, making sure not to miss anything
• Proactive – You take initiative and have fast response times
• Multi-Tasking Ability: You will be on the computer checking emails, get WhatsApp messages, and phone calls – you are able to handle all in quick and timely manner
• Flexible- You’re not a 9-to-5er but a project completer. You are available evenings and weekends.
• Ability to work well under pressure and within tight deadlines
• Great Time Management & Well Organized so you can effectively manage your schedule to achieve amazing amounts of important work
• Willingness to learn and absorb information
• Works well with others: We have a lot of work which is shared and will be passed on so constant communication is key
• Takes direction well – looking for an Executor and someone who is very proactive. Once we assign a task, it is now on your list and you are looking to complete it as quickly as possible
• BONUS Skills: Creating Websites (Wix, Landing Pages, etc) & Basic Graphic Design

We are offering a permanent and full-time position to the successful candidate. Monday to Friday with flexibility for evenings and weekends when need be. If you are great at what you do, there will be flexibility to work from home on some days.

Expected start date: 2021-06-01

Salary: $38,000.00-$50,000.00 per year
