Responsibilities: Greet all visitors, making sure they feel comfortable and welcome. Check in all visitors using assigned software. Alert staff member that their visitor has arrived. Places, receives and screens telephone calls; routing appropriately if necessary. Responsible for the schedule coordination of all conference rooms located in the respective Research Building(s). Receives mail delivery and distributes using mailboxes. Maintain accurate staff lists for mailboxes. Maintain current presentation posters in each elevator. Perform all administrative duties for at least 1 but not to exceed 3 Directors/Managers/Administrators as assigned: · Type correspondence, reports, surveys, tabulations and statistical data · Prepares charts and slides for meetings and presentation as directed, organizes material and determines format as requested · Assists in scheduling meetings · Manages travel arrangements including air reservations, scheduling options, hotel and car rental · Develops travel itineraries in alignment with NCH standards · Completes reimbursement requests Orders program and office supplies and equipment; notifies proper personnel when office equipment is in need of repair. Provides additional secretarial support to others, as requested/assigned. Performs other related duties as assigned. Qualifications: Knowledge, Skills and Abilities Required: 1. High school diploma or equivalent with business coursework preferred. 2. Three to five years administrative assistant or relative experience. 3. Skill in composing letters, memos, and other correspondence. 4. Effective communication and interpersonal skills required. 5. Skills in operating a personal computer, and word processing software. Must be familiar with various software packages (e.g., Word, Excel, PowerPoint). 6. Ability to work with highly confidential materials.
