This position provides administrative assistance and support for all functions within the Maintenance Operations and Fleet Management Unit. This position assists with all the Unit’s personnel functions which includes, but not limited to, initiating all personnel actions such as hiring, promotions, reallocations, separations, FMLA in BEACON; creating, compiling, and generating personnel reports for management (i.e., vacancy reports, personnel action reports, salary comparisons/analysis, equity reports, employee/position reports etc.); maintaining personnel files, position numbers, position descriptions, Unit’s organizational chart, Unit’s directory, and employee work schedules; preparing requests to post and serving as a point of contact for postings in unit; performing hiring manager duties in NEOGOV and setting up interviews. This position assists with payroll functions for the entire unit, assists with record retention, archival and disposal activities, maintains vehicle records and orders office supplies. This position will perform administrative functions for State Maintenance Operations including organizing and maintaining training materials, scheduling meetings and trainings, answering phones, and serves as back-up receptionist. Other duties as assigned.
Knowledge, Skills and Abilities / Competencies

Experience using Microsoft Word, Excel, Power Point, and Outlook
Experience gathering and analyzing data/information and composing technical and administrative reports
Demonstrated ability to independently analyze and interpret policy and procedures to resolve problems and questions
Demonstrated experience and technical skill sets to independently and accurately process, retrieve or reference information from database systems using SAP, Beacon, NEOGOV, and LMS
Additional Expectations:
Maintains strict confidentiality on all matters and provides a high level of responsiveness to requests. Sufficient working knowledge of unit activities involving disasters and equipment procurement to interact with customers from outside the unit. Considerable knowledge of the principles and practices of public and business administration. Considerable knowledge of program objectives and standards in the area of assignment. Basic knowledge of personnel policies and procedures. May require basic knowledge of accounting practices and procedures. Basic knowledge of administering funds in accordance with program procedures. Ability to initiate and install administrative programs and procedures and to evaluate their effectiveness. Ability to exercise judgment and discretion in establishing, applying, and interpreting policies and procedures. May require the ability to plan, assign, and supervise the work of subordinate positions. Ability to establish and maintain effective working relationships with agency personnel, officials, and the general public.
Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.
