Role Overview:

We have an opportunity for a Receptionist to join our Communications Hub team. The successful candidate will be responsible for first impressions by greeting incoming customers, visitors and new employees to the Netwatch Headquarters and to support the efficient and professional running of the reception area on a day to day basis. Other responsibilities will include operating our telephone system, providing administrative support by handling information requests, performing clerical functions such as preparing correspondence and ad-hoc reporting and managing facilities coordination for our Carlow and Newry teams. Suitable candidates will have strong attention to detail, excellent interpersonal skills and the ability to work well in a team. This is an excellent opportunity for the successful candidate to grow and develop their administrative skills and experience.

Key Responsibilities include;

• Operate the telephone system to answer, screen and forward calls, providing information, taking messages and scheduling appointments
• Greet persons entering establishment, determine nature and purpose of visit, directing them appropriately and monitoring visitor access
• Manage calendars for internal meeting rooms
• Provide general administrative support to the Communications Hub Management team as required
• Distribute incoming correspondence, including emails
• Manage facilities coordination for our Carlow and Newry offices
• Manage meeting minute recording, setting up meeting rooms and organising refreshments when required
• Support with external customer reports
• Maintain the Intacct account, raise POs and control Hub related invoices
• Control and audit petty cash for Curam House & Newry Hubs
• Support with an internal reporting, such as COVID Self Declaration reporting, Hours Worked, Daily Rostering Report
• Act as the main liaison with our cleaning contractors in Carlow and Newry, oversee weekly cleaning schedules, audit cleaning etc.
• Order stock and maintain inventory with water suppliers, for kitchen supplies and inventory, stationary stock, printing cartridges etc.
• Manage employee access cards, maintain inventory of access cards, issue new cards, control access groups, card expiration etc.
• Take a lead role in building maintenance, liaising with Electricians, Plumbers etc. as needed for upkeep of premises
• Manage communications Hub uniforms, order stock and maintain inventory, issue uniforms to staff upon request

Person Specification

• Leaving Certificate is required
• Administration qualification or up to 1 year administration experience is desirable but not essential
• Good working knowledge of all Microsoft office packages, ECDL is desirable but not essential
• Excellent communication skills both written and verbal, with a confident phone manner
• Friendly and approachable demeanour, proactive individual who demonstrates a professional appearance
• Flexible with the ability to prioritise a changing workload
• Self- motivated, able to work under own initiative and also a good team player
• Excellent organisational skills with strong attention to detail and a high level of accuracy
