This position’s duty station is assigned to Dix Campus in Raleigh, North Carolina. This position is not eligible for a remote/hybrid telework arrangement due to the job responsibilities.
Position Summary
This position will serve as the receptionist for the Kirby Building located on Dix Campus. The position will provide a wide variety of administrative support to the Deputy Secretary’s office and DHB leadership. This position reports to the Deputy Secretary’s Executive Assistant.
Job Specific Responsibilities
- Ensure that individuals comply with DHHS ID Badge Policy as each individual enters the building.
- Monitor the operation of the entrance door and surveillance camera and report any safety and/or security concerns to the facility manager and security official.
- Ensure all visitors are greeted, identified, and signed in and issued the appropriate visitor badge.
- Coordinate and contact escorts for visitors and ensure all visitors are signed out and have turned in any visitor badges upon departure.
- Maintain daily log of visitors during business hours.
- Serve as calendar administrator for several conference rooms and phone lines.
- Update and maintain the DHB employee phone directory.
- Serve as back-up to the Executive Assistant for managing the Deputy Secretary’s calendar.
- Assist other sections with compiling information for meetings, booklets, mailings, and other projects.
- Coordinate mail pick up and delivery for the Kirby Building and assist other sections with mail.
- Assist with special and time-limited projects as directed by the Executive Assistant.
- Communicate a wide variety of information by telephone, email, or personal contact from DHHS Divisions, various state and county agencies, private and local agencies, and physicians, hospitals, clinics, beneficiaries, and the general public.

Knowledge, Skills and Abilities / Competencies

- Proven ability in establishing and maintaining effective working relationships with internal and external stakeholders.
- Excellent written communication skills and demonstrated ability to use correct spelling, punctuation, and grammar.
- Experience organizing and coordinating workflow based on shifting priorities and deadlines in a dynamic and fluid work environment.
- Ability to independently work with people with courtesy and tact in performing public contact duties that may be sensitive in nature.
- Intermediate computer skills including Microsoft Word, Excel and Outlook.
- Ability to use scanners, fax machine, copier, printers, and multi-line phone system.
- Experience entering, organizing, and analyzing data from a variety of sources.
Management Preferences:
- Previous work experience as a receptionist in a state or local government agency, healthcare, or social services environment.
- Proficiency with Microsoft Teams.
Minimum Education and Experience Requirements
High school or General Educational Development (GED) diploma and one year of administrative experience; or an equivalent combination of education and experience.
Degrees must be from appropriately accredited colleges or universities.
