Northrop Grumman Aeronautics Systems (NGAS) is seeking a highly motivated Administrative Assistant 4 to join our team of qualified, diverse individuals supporting the NGAS Research and Advanced Design (R&AD) Division. This position will be based at the NGAS’s Redondo Beach, CA facility.

The successful candidate will be a vital member of our R&AD operations team and will perform an administrative support role for a variety of high-tempo research directorate leaders based in Redondo Beach, CA with significant travel and local customer engagement requirements. This position will need to be on-site full-time to support program and department needs throughout the week.

The selected candidate must be well-organized, able to handle a wide range of assignments on time, be an exceptional team player, as well as collaborative, self-motivated, detail oriented, and able to work with minimal supervision.

Responsibilities will include, but not limited to the following:

• Serves as the administrative focal point for R&AD directorates in Redondo Beach, CA and communicates with executive, administrative, and management personnel to gather or convey relevant information.
• Works closely and effectively with R&AD directorate leaders to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
• Demonstrates leadership skills to maintain credibility, trust and support with senior management staff and executive team.
• Responsible for managing directorate leadership’s schedule and coordinating critical customer and management meetings.
• Coordinates calendars, extensive, frequently changing travel arrangements, expense reports and all forms of correspondence.
• Follows up on open actions to ensure deadlines are met, and gathers, compiles, and reports on information relevant to supervisor’s assignments.
• Assists in event planning and activities of major organization initiatives and reviews.
• Operates independently to meet requirements of leadership team and offers expertise to assist other functions within the organization.
• Using Microsoft Office to develop and maintain organization charts, producing reports, presentations, spreadsheets, and managing email and calendars

Basic Qualifications:

• High School Diploma with a minimum of six years additional education and/or professional experience
• Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook, and Excel), Teams (or equivalent), SharePoint (or equivalent), and intranet/internet proficiency.
• Experience and proficiency with Concur (or similar) travel and expense reporting system.
• Ability to efficiently coordinate Outlook calendars, conference call details, and shared link applications. Including the ability to manage multiple complex calendars across management team and time zones.
• Highly developed verbal and written communication skills and proven success in organizing, prioritizing, and completing assigned responsibilities.
• Experience interfacing with executive level internal and external contacts with considerable autonomy.

Preferred Qualifications:

• Bachelor’s or Associate degree, preferably in business or technical related field.
• Familiarity with Northrop Grumman’s specific systems (SAP, Concur, DSEA, Facilities requests, IBUY, etc.).
• Self-starter with strong attention to detail and the ability to function independently
• Exceptional, energetic, and enthusiastic team player with strong problem solving and analytical skills
• Proactive, highly motivated, and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities across a geographically dispersed team.
• Knowledge of foreign and international visitor process requests.
• Knowledge of NGC resources, policies, and procedures.
• Experience with SharePoint and M365
• Experience in supporting a large program team within an organization.
• Experience coordinating both on and off-site meetings and/or events.
• Experience in reviewing and editing written material for correct spelling and grammar
• Active DoD Secret Clearance

Salary Range: $63,800 USD – $106,300 USD

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
