Job Summary
Numis Chartered Professional Accountants (“NUMIS”) offers accounting, tax, and consulting services for Canadian businesses and individuals, in addition to customizable cross-border tax services.
We are seeking an organized and forward thinking individual to fill a full time admin assistant role on our West Kelowna based team. At NUMIS, we are looking for motivated individuals who work well in a team environment and are detail oriented.
A successful applicant will be capable of managing the schedules of partners and clients, keeping files organized in a paperless environment, coordinating other office staff when needed, handling competing priorities and fulfilling other project based tasks. This person will need to be able to confidently use their skills and utilize technology to complete tasks in a timely manner.
Core Responsibilities and Duties
Reporting directly to the Manager, the Admin Assistant will balance routine daily tasks, ongoing projects and ad hoc tasks.
· Contribute to client satisfaction by providing clients with exceptional quality, timely and responsive services
· Draft emails, documents, financial documents, and letters
· Assist with workflow management by receiving client documents and sending finalized deliverables
· Utilize technology to maximize efficiency and accuracy
Qualifications and Experience
· 2+ years experience working in an administrative or project management role
· Bachelor degree or related diploma with relevant focus not required, but would be considered an asset
· Excellent written and verbal communication in English
· Ability to adapt style of communication depending on who you are interacting with
· Instinctive listening skills when receiving direction or information that can translate into action
· Quick execution skills on tasks with high accuracy
· Proficient with Microsoft Suite (Excel, Word, Outlook, OneDrive, Sharepoint)
· Comfortable operating in a paperless environment
· Experience with Caseware, Taxprep, Asana (or similar), or bookkeeping/accounting software would be considered an asset
· Excellent time management skills
· The ability to work independently with minimal supervision, then come together as a team when needed
· Driven to meet simultaneous deadlines and adapt to competing priorities
· References required upon interview
