Reporting to the Supervisor Health Programs, the Administrative Assistant is responsible for providing efficient and consistent delivery of administrative support within the department. The position ensures the effective operation of clerical duties, coordination of invoices, and that other office work/processes are prioritized and referred to the proper authority. The position carries out administrative functions in a timely manner and ensures that support and coordination is provided to fulfill the operational requirements of the office.
Carrying out office procedures to ensure smooth operation, answering phones, dealing with incoming inquiries from employees and the public, scheduling/arranging meetings and teleconferences, proof reading, formatting and printing documents, developing and maintaining office filing system, handles all incoming and outgoing mail and facsimile transmissions, maintain leave and attendance files.
An in-depth knowledge of office and administrative procedures. The incumbent must be able to use personal computer including word processing, electronic mail and spreadsheet software. Ability to communicate effectively verbally and in writing is a requirement. Strong customer services skills and organizational skills to work independently and meet establishment deadlines.
The knowledge, skills, and abilities required for this job are usually obtained through a High School Diploma and one year of experience working in an office environment.
Equivalencies that consist of an acceptable combination of education, experience, knowledge, skills and abilities may be considered.
Fluency in more than one of Nunavut’s official language is an asset.
Knowledge of Inuit language, communities, culture, land and Inuit Qaujimajatugangit is an asset.
