Pediatric Subspecialty Practice Hiring for Lead Scheduling Coordinator Job at Remote Full Time

Pediatric Sleep Specialists is a growing private practice specializing in sleep disorder evaluation and treatment. We are seeking a Lead Scheduling Coordinator looking for the opportunity to work with pediatric patients, their families and an awesome team of providers and staff. Essential Job Functions:

LEAD:

Assist and act as liaison for the manager in patient scheduling issues, training, education, communication, and problem-solving.
Establish daily work schedules for patient scheduling staff.
-Ensure adequate coverage at all times.
-Assist manager with vacation and holiday requests.
-Maintain continuity while providing coverage for absences.

Provide orientation for all new patient scheduling employees and other clinical staff who may need to learn scheduling functions.

Provide positive guidance, training, and monitoring of staff on processes of scheduling and other patient scheduling functions.

Develop and maintain training and workflow documents for patient scheduling.

Monitor telephone statistics daily and intervene as needed to meet standards.

Ensure that policies and procedures are current, accurate, and understood by patient scheduling employees when disseminating information.

Serve as a resource person and provide information to patient scheduling staff and patients regarding insurance.

Act as a liaison between manager, technical staff, patients, departments, and services such as Information Technology, etc.

Recommend and advise the manager on clinic-related issues, problem occurrences, changes in activity, etc.

Function as a primary schedule template builder and reviewer and assist other staff in learning this process. Monitor existing templates and maintain daily schedules for resources.

Assist manager in ensuring clinic staff is compliant with all clinic standards (i.e., confidentiality).

Act as a positive role model and exemplary customer service resource.

May contribute to peer review for performance evaluations.

SCHEDULER:

Schedules, coordinates, and reschedules clinic/telemed clinic appointments and sleep study appointments. Relays necessary messages related to scheduling to staff and patients.

New patient referral coordinator and track referrals and relevant information in spreadsheets.

Manage all incoming referrals—liaison to primary care and referring physician offices.
Register all new patients into electronic health records (Athena).

Set up patient portal accounts.

Ensure that all new patient paperwork has been completed before the visit.

Gather and scan all required patient information from physicians, hospitals, sleep centers, etc., into the patient chart.

Ensure authorizations for sleep studies are obtained by the authorization department before the patient is seen.

Patient Liaison providing timely and professional services to parents, family members and others.

Maintains patient confidentiality.

Maintains timely flow of administrative processes.

Provide back-up assistance to other PSS positions.

Follow all HIPAA regulations.

Attends staff meetings.

Job Type: Full-time

Pay: From $19.00 per hour
