My client is a small motel owner based in California and is looking for an experienced and detail focused virtual assistant to join his team in supporting the business operations.

Our ideal candidate will have previous experience in light accounting and book-keeping as well as the knowledge and ability to process and approve invoices for payment.

Essential Skills attributes & Experience

• High School Diploma or above
• Demonstrated ability to use Microsoft Office programs along with previous experience of invoicing/accounting software
• Excellent attention to detail with strong organisational skills
• Minimum of 3 years previous administration work
• Minimum of 1 years experience in light accounting/book-keeping/finance
• Certification in business admin would be an advantage
• Excellent problem solving skills
• Able to work independently

The role & What you’ll do

• Prepare daily financial reports including money deposited into the bank and cash collected from rooms. Enter track and share all financial information with management
• Schedule and track employee attendance. Liaise with employees when needed to ascertain cover or send home employees if the motel is not busy. Deal with personnel calling in sick and arrange alternative cover
• Manage and log employee time off requests
• Assist the general manager with payroll duties
• Manage senior managements calendars and schedules
• Manage the scheduling of interviews during hiring periods
• Make calls to various contractors and companies to obtain services such as repair services
• Send correspondence and emails on behalf of the company
• Ensure proper and accurate data entry. Including entering employee data and keeping their records up to date. Entering data for payroll. Ensuring logs are kept of lost and found items
• Monitor the email inbox and ensure that queries are responded to in a timely manner or escalated to management when needed
