Project Administrator (Full-time) (Santa Ana, CA)
Salary:Starting $24.50 Hourly
POSITION SUMMARY
Reporting to the Program Director, the Project Administrator is responsible for general administrative duties, data collection, analysis of outcomes, interpretation of data, and generating reports using graphs or spreadsheets.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Assists with administrative function; maintains supply inventory and orders; assist with the coordination of community outreach (i.e., High school and middle school presentations, job fairs, career fairs, etc.).
Review and assess outcome data, invoices, and other pertinent documents; and develop spreadsheets and new systems for continued program development.
Identify techniques for collecting data from clients’ perspectives to improve program functioning and responsiveness to clients’ needs in progressing and/or sustaining their recovery.
Collect data on client recovery advancement and recovery-sustaining mentality and perspectives in seeking successful patterns or ideas for other clients.
Provide feedback and reports to Director, Clinical Specialist, and Prevention Coordinators on analysis of data gathered; including transition department referrals to Community Based Programs, program participants, new clients, etc.
Maintain population statistics on a daily, weekly, and monthly basis.
Attend and participate in meetings with the supervisor to discuss and review development plans and pressing concerns, which may include workplace safety suggestions. Present data findings and solidify with supervisors and directors the necessary strategies and target areas for improvement.
Ensure monthly facility reports and quarterly reports possess accuracy and are distributed on a timely basis to all appropriate agencies and departments.
Adhere to the professional conduct of standards and ethics as set forth by legal, funding, and regulatory requirements, official licensure, and Phoenix House policies.
Attends all required staff training sessions in accordance with Phoenix House and state licensing requirements, completes all training on time
Attends and participates in program and all staff meetings
Adheres to and promotes the Phoenix House Mission, Vision, and Values while acting as a role model for others

EDUCATION/EXPERIENCE/CREDENTIALS
Bachelor’s degree in Social Sciences or Mathematics from an accredited college or university.
Training and experience in compiling evaluation data, database management, and data analysis using spreadsheets and analytical software.
Experience working with children and non-minor dependent youth with complex mental health and emotional needs and/or juvenile justice involvement preferred
Must maintain a valid California Drivers’ License, have proof of automobile insurance and maintain a safe driving record based on Phoenix House policy

Proficiency in MS Office systems

Ability to effectively communicate verbally and in writing with appropriate documentation skills to complete reports, utilize data and communicate ideas constructively

Communicate effectively with others both orally and in writing
Ability to work effectively in a fast-paced changing environment
Ability to establish and consistently enforce appropriate boundaries with patients

Understanding of addiction, co-occurring models, and treatment modalities
Understanding of patient development and family systems
Excellent time management and organizational skills
Ability to be flexible; problem solver, self-directed; customer service-oriented, and collaborative
Skills and ability to engage and develop a rapport with patients and families of various backgrounds
Bilingual in Spanish preferred
