LOCATION: Hoffman Estates, IL

The Tradeshow Event Planner is responsible for working with the Marketing and Education team to help produce tradeshows and event programs. This needs to be done in an organized, timely approach, meeting fast-paced deadlines, and working within budgets. The Tradeshow Event Planner will be the contact person between the company, associations, partners, and vendors. As a member of the Education events team, the Tradeshow Event Planner will also be assisting in similar tasks as needed for HQ and regional events.

ESSENTIAL DUTIES:

• Completes tradeshow applications; procures booth space, show services and handles the shipping logistics both to and from the tradeshows/events.
• Procures hotels for the representatives/staff attending the tradeshows/events.
• Works with tradeshow and shipping vendors to ensure accuracy of orders and requests.
• On-site supervision of local labor team responsible for set up and tear down at designated tradeshows throughout North America.
• Collaborates with Planmeca team members to manage the corporate processes, including equipment requests.
• Coordinates roundtrip shipping, set-up, and tear-down, of equipment.
• Assists with onsite events, including but not limited to set up registration, and post-event follow-up.
• Manages and maintains budget based on annual event budget as directed.
• Reconciles credit card statements monthly or as otherwise directed.
• Conducts post-event follow-up; gathers details from reps and billing/paying partners involved in events.
• Maintains tradeshow calendars.
• Assists with maintaining literature inventory.
• Contributes to projects as needed to support the Education events team.
• Adheres to company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments.
• Performs other duties as assigned.

MINIMUM QUALIFICATIONS:
Training and Experience

• Bachelor’s degree in Marketing, Hospitality, or a related field preferred
• 3-5 years of tradeshow and/or event planning experience

Knowledge, Abilities, and Skills

• Exceptional organization, communication, analytic and problem-solving skills
• Work in a very fast-paced environment with the ability to multi-task
• Ability to establish priorities, set and maintain deadlines, with strong attention to details
• Exceptional verbal and written communication skills; strong interpersonal skills
• Self-starter with the ability to work productively in both individual and team settings
• Strong computer skills with high-level proficiency in Microsoft Office Suite and a strong ability to quickly learn specialized software programs
• Ability to maintain a positive attitude in a fast-paced environment
• Ability to meet deadlines

PHYSICAL REQUIREMENTS:

• Up to 50% travel primarily within North America
• Ability to lift up to 35 lbs.

WORKING CONDITIONS:

The work environment of the position is in a professional office environment with uses of standard office equipment such as computers, phones, and copiers. Travel for meetings, conferences, and events out of state may require overnight and weekend travel.
