Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) Planned Parenthood seeks an efficient and detail-oriented receptionist to support the COO Division Operations in a fast-paced and dynamic environment. This job reports to the Associate Director in the Operations Division of PPFA. The Operations Division provides efficient business solutions with a priority on customer service throughout the organization.
Purpose
- Provide strong administrative support to the Facilities team. The position is responsible for scheduling, conference room, and reception management.
Delivery
- Provide primary support for the telephone switchboard console and routing of calls to appropriate people or location(s) within the national office.
- Greet and announce affiliate visitors, job applicants, vendors, board members and other PPFA employees. Schedule and maintain the master calendar for conference rooms.
- Monitor radio communications, Nat’l Facilities email and assist as needed.
- Support Facilities team with management of the Emergency and Evaluation program including staff training
- Maintains up to date records of processes, protocols and all resources relevant to Conference Room and Reception Management; demonstrates knowledge of all Facilities-related policies, processes, protocols, etc.
- Support Associate Director in the management of Facilities intranet page and in coordinating and preparing for all Facilities-related events, meetings, and activities. This includes, but is not limited to, drafting meeting agendas, organizing meeting materials for distribution, reserving meeting rooms, September 2019 physically setting up rooms, setting up video conferencing or presentation equipment, ordering catering and setting up, taking meeting minutes, and escorting guests.
- Serves as backup support for Vice President for Global Operations incl, internal and external scheduling requests, travel requests, preparing travel itineraries, travel meeting agendas, preparing briefing materials and reconciling business and travel expenses, and completing expense reports, in a timely fashion including registration for meetings, conferences, and events.
- Process and submit pay orders and related documents for vendor payments in a timely manner
- Support ad hoc requests for administrative support across Facilities.
- Perform other duties as assigned.
Engagement
- The Front Desk Specialist is the primary advocate for reception and conference room management and will serve as the first point of contact for staff, visitors, and guests. The Operations Division is committed to providing exemplary customer service across the organization. This requires consistent, proactive engagement with staff and the ability to understand staff needs and identify effective, actionable solutions. Internal teamwork within Facilities is just as critical, learning how each role interacts and builds a stronger unit.
Knowledge, Skills and Abilities (KSAs)
- Bachelor’s Degree or equivalent years of experience. At least 3 years of administrative work support
- Experience working in a fast-paced environment, managing multiple projects, and ability to handle stressful situations with ease.
- Occasionally availability outside of normal working hours.
- Advanced knowledge of Microsoft Suite ( (i.e., word, excel, powerpoint)
- Advanced knowledge of Google platform and applications required (i.e., gmail, drive, calendar, doc, sheets, etc.)
- High ethical standards and exemplary customer service skills are a must.
Travel
- As needed
Starting Salary: $60,000
Final offers for this job will be based on capabilities and will be made within the parameters of the PPFA compensation program. Total offer package to include generous vacation + sick leave + paid holidays, individual/family provided medical, dental and vision benefits effective day 1, life insurance, short/long term disability, paid family leave and 401k.
