Pollen Hiring for Executive Assistant to the COO at New York, NY Full Time

Become the right hand of an exciting and dynamic COO at the top of his game and driving at a million miles an hour – this role will thrill anyone who loves working in a fast paced environment and be at the heart of a scale up that is set on world domination.

In the first 12 months you will:
Run his complex and constantly changing diary, strategically structuring his schedule so that he is on time & prepared. Coordinating his diary, organising all agendas and materials as well as circulating and chasing up any resulting actions.

Support him in project managing key global initiatives from design through to roll out & ensure you see projects through to successful completion – juggling all balls and leveraging a keen attention to detail and a genuine love for organising. You’ll help him manage his highest priority strategic initiatives, financial and operational projects and support with ad-hoc projects as needed.

Attend important meetings ensuring to capture all actions & next steps to send in a follow up email to all attendees.

Ensure he manages and completes his own actions on time ○ Follow up with stakeholders to make sure actions are completed on time.

Make sure that he has a friction free day from start to finish including successfully managing scheduling conflicts & last minute diary changes. Make sure that all his personal needs are met; such as organising meals each day or booking restaurants, any delivery requirements, running errands and booking activities (be it personal or business related).

Where required, support him across his personal life including property management, family holidays and buying gifts.

Own all of his admin responsibilities; book all travel, writing and preparing correspondence, coordinating meeting materials and creating itineraries for him. As well as submit all of his monthly expenses.
